Job Responsibilities:

Position Overview

The 40 hour per week, (five 8-hour days), in person position is responsible for handling and processing all mail along with shipping and receiving. This includes shipping domestic and international, sorting incoming and interdepartmental mail for accurate and timely distribution. Position includes processing all outgoing mail, (U.S., UPS, Fed Ex, interoffice, etc.), pick-up and delivery of mail to departments. Maintain the flow of the office by organizing incoming and outgoing information by mail or telephone.

Essential Duties and Responsibilities:

  • Process daily incoming FedEx, UPS in SharePoint and all other non US mail deliveries; sort according to mail codes; distribute to all departments.
  • GEED responsibilities for company owned equipment.
  • SAP purchase requests and receiving responsibilities.
  • Receive POs in SAP for engineering support
  • HSELinx data inputs for AH facility.
  • Recycling coordination for the site. Batteries, Cardboard, Electronics, Aerosol cans, Fluorescent Bulbs etc.
  • Assist Facility Coordinator with daily tasks
  • Actively participate in EH&S program
  • Process all outgoing mail (i.e. U.S. Mail, UPS, U.S. customs, etc.) timely and accurately.
  • Track outgoing packages as needed.
  • File appropriate documentation for foreign packages.
  • Maintain and replenish postage meter as needed.
  • Ability to lift, move and package for shipment oversize items (up to approximately 40 lbs.)
  • Notify individuals of oversized packages not deliverable to specific floors.
  • Organize, order, stock and maintain mail room and supplies in a neat and organized manner.
  • Complete special projects and other duties as assigned by supervisor.
  • All other duties and tasks as assigned.

Qualifications:

  • Minimum three (3) years’ general office experience
  • Valid driver’s licence with good driving record

Education / Experience

  • High School diploma or equivalent required

Special Knowledge / Skills:

  • Knowledge of standard office equipment
  • Strong computer experience including Microsoft office (with an emphasis on Word and Excel)
  • Excellent telephone manner and appearance
  • Ability to be entrusted with confidential information
  • Self-motivated and organized
  • Possess strong interpersonal skills
  • Team player but able to work well independently
  • Utilize company tools to notify manager of schedules changes in a timely manner.

Physical Demands / Work Environment:

  • Normal amount of sitting or standing, average mobility to move around an office environment, able to conduct normal amount of work at a computer. Vision abilities required by this job include close vision and ability to adjust focus. At peak work periods overtime may be required.

  • Takes an active part in the division’s safety program by performing regular workplace inspections, effectively investigates accidents/incidents promptly and assists in meeting or exceeding the division’s safety goals.
