PRIMARY PURPOSE:

Provide clerical support to ensure the effective and efficient operation of the Career and Technical Education Department while performing all major responsibilities and maintaining accurate, current and confidential records.

QUALIFICATIONS:

Minimum Education/Certification:

High School Diploma or Equivalent

Associates degree from accredited college or university- preferred

Minimum > 40 WPM typing test

Special Knowledge/Skills

Work effectively and collaboratively with students and school personnel

Follow written and/or oral directions and exercise good judgment

Work under pressure and be flexible

Work independently as well as in a team setting

Work independently without direct guidance and supervision

Possess basic knowledge of accounting procedures

Use software to develop spreadsheets, databases and financial applications

Maintain accurate and auditable records

Knowledge of school district organization, operations, and administrative policies

Work Conditions:

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting and standing; bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions including keyboarding; reaching

Lifting: Lifting and carrying (50 to 70 pounds)

Environment: Must be able to work with frequent interruptions and maintain professional demeanor under stress; must have problem-solving skills; occasional prolonged hours and irregular hours; business casual and/or professional dress required

Travel: Infrequent district-wide travel

Regular attendance is an essential function

Minimum Experience:

Experience with the student management system i.e. Skyward experience- preferred

Experience with the management system i.e. PeopleSoft experience- preferred.

Two or more years of successful experience in a similar position

MAJOR RESPONSIBILITIES AND DUTIES:

  1. Assist Director of Career and Technical Education with all correspondence.
  2. Assist in the preparation of CTE data for administration and district personnel.
  3. Maintain accurate records for financial details in regards to budgetary items and expenditures.
  4. Prepare forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements.
  5. Work with district personnel to accurately report receipt/delivery of items ordered and communicate appropriate personnel when items invoiced but not received.
  6. Organize meetings, trainings, and/or special events.
  7. Maintain accurate staff development records and prepare materials for staff development programs
  8. Assist CTE Director with certification data records and scheduling of student certification exams.
  9. Assist CTE Director with state and federal programs/grants and data collection.
  10. Insure compliance with financial, legal and administrative requirements associated with grants, special programs, laws, and Board policy.
  11. Assist CTE Director with the input of CTE data in the student management system i.e. Skyward as needed.
  12. Maintain a regular filing system as well as a system for confidential student and staff information.
  13. Assist with CTE news and information that may be shared on web page and/or social media sites with accurate and updated information in regards to career and technical education.
  14. Greet campus students, guests, answer phones, route messages, and set up appointments for the Director of CTE as needed.
  15. Maintain confidentiality of information.
  16. Follow district safety protocols and emergency procedures.
  17. Perform such other tasks and accepts such other responsibilities as may be assigned.
  18. Comply with state, district, and school regulations and policies for classroom teachers including the Texas Educator Code of Ethics.
