Project Overview:

Bechtel has been selected to enter into an exclusive Early Contractor Involvement (ECI) phase on a number of landmark Australian Energy projects to provide a detailed and robust design to support a comprehensive project estimate and schedule. Following the submission of the ECI's the intent will be to move into an EPC phase of the projects whereby Bechtel will complete the detailed design and execute the construction of the projects.

Job Summary:

This position is for a Document Controller to provide support to the Renewables and Clean Power projects.

This role provides document management support for multiple projects as part of the Core Renewables team. Under the direction of the Operations Manager and individual Project Managers, the Document Controller will provide support to the project team and perform document management and administrative tasks in accordance with applicable governance documents.

"This position is designated as part-time telework per our global telework policy and may require at least three days of in-person attendance per week at the assigned office or project. Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership”

Major Responsibilities:

Provide document management support to include:

  • Utilizing the project ECMS to register, control, distribute, transmit, file and archive project documents.
  • Providing Aconex training to the project team and outside organizations, including vendors and Owners/Clients
  • Communicating effectively with project team members, client, and field personnel to ensure quality, schedule and budget are met as defined.
  • Supporting quality assurance audits, internal technical reviews, client reviews, and external audits.
  • Participating in monthly project quality verifications, including correction of errors.
  • Preparing routine documents and reports using standard Word processing tools, Excel spreadsheets, or other office software as needed to support work activities.
  • Will attend supplier kickoff meetings to provide training on Document Submittal requirements and will assist with creation of accounts and overall training in Aconex.
  • Keeping abreast of department technologies, techniques, and services that are available.
  • Operating standard office equipment, copiers, and automation tools.
  • Providing technical guidance and training to project team members in the use of automated document management tools.
  • Performing / Assisting in other general administrative activities as required.

Education and Experience Requirements:

Preferred Qualifications

  • Previous document/records management experience in the construction, or engineering industry.
  • Experience using Aconex, to include using and managing workflows.

Level 1:

  • Experience using commercial electronic content management systems.
  • Typically requires a minimum of 4-6 years of related experience.
  • Associate degree or related technical training preferred.

Level 2:

  • Requires bachelor's degree (or international equivalent) and 2-5 years of relevant experience, or 6-9 years of relevant work experience.
  • Experience using commercial electronic content management systems, including Aconex. Must be proficient in Aconex features to include user management, workflows, troubleshooting.

Required Knowledge, Skills and Abilities:

  • Must be able to demonstrate basic to intermediate proficiency using standard office automation tools, including Microsoft Excel, Outlook, and Word.
  • Must be able to multi-task and organize and prioritize assigned document management tasks.
  • Strong organizational skills, with attention to detail and to accuracy.
  • Have strong interpersonal and customer service skills.
  • Have ability to work flexibly and collaboratively across all levels of the organization.
  • Must be flexible and able to accept and quickly adapt to changes in work focus.
