The automotive markets Holman serves include fleet management and leasing; vehicle fabrication and upfitting; component manufacturing and productivity solutions; powertrain distribution and logistics services; commercial and personal insurance and risk management; and retail automotive sales as one of the largest privately owned dealership groups in the United States.

Holman is now accepting resumes for the role of Meeting & Event Planner.

Principal Purpose of Position:

  • Upon notification of an event, prepares a project plan, including an event budget.
  • Selects the location for the event and negotiates contracts with all relevant vendors.
  • Communicates with senior management to provide updates on the progress of meeting and event plans, including post-event recaps.
  • Plans event logistics including meeting rooms, guest arrivals, departures, equipment rentals and accommodations.
  • Selects dining and entertainment venues.
  • Travels to support events or meetings, as well as pre-event site exploration visits.
  • Coordination with outside speakers, presenters, and other entertainers that are contracted with Holman.
  • Liaises with staff at events to coordinate details.
  • Reviews and approves event bills and related invoices. Works with the accounting team to ensure proper cost allocation.
  • Evaluates the outcome of events to determine if meeting goals were achieved and applies information to future events.
  • Assist Partners in Excellence and HR in internal and recruiting event logistics and planning.
  • Support 140+ events including international events, identify our audience and tailoring the messaging accordingly. Ex. European events, lean into European messaging.
  • Strategize event messaging. Meet regularly with teams attending. (HSBS, VR, R+E, POCs for AFLA, United Rentals, etc.)
  • Register for shows and booth spaces.
  • Register teams for the shows and apply for their badges.
  • Secure any additional add-on sponsorships (additional branding opportunities, speaking opportunities, sponsored parties, etc.)
  • Reading through Exhibitor toolkits to extract necessary information for creative vendor and the team (load in/out procedures + times, venue requirements, audience info).
  • Send show notes to creative vendor with what items are going to each including: banners, giveaways, raffles (each business line gets different items).
  • Strategize on booth experience, creating a personalized design with visually stunning expo booths.
  • Design each booth (larger than the standard 10x10s) with Event Manager and help of creative vendor (create mood board to help convey booth vision and direction as well as help attendees visualize).
  • Collaborate closely with cross-functional teams, vendors, and clients to understand their goals and tailor events and booth designs to meet their specific needs.
  • Assist with sourcing videos and create slides for the monitors at each booth.
  • Provide an online Holman profile and presence on the exhibitor portal for each show. (logos, company description, services offered, links)
  • Works with internal and 3rd party vendors on production of marketing collateral, signage, and promotional materials to support events and both activations.
  • Send final details and timeline document to all tier 1+ and some tier 2 shows.
  • Plan the after parties for NTEA + NAFA (design, menu, book talent, book production/AV, secure rentals, communicate to Tom the items we will be using from inventory).
  • Send tier 1 show details to web team to put on Pulse and the website.
  • Help with the coordination of veicles for show displays and/or booths.
  • Stay on top of giveaway/swag quantiites and order when necessary.
  • Create and send post-event surveys, breakdown guides, and assist with recaps.
  • Remotely field questions from our teams attending and manage vendors that are present on-site.
  • Sourcing prizes, communicating artwork needs to the appropriate team members, and sending raffle prizes.
  • Perform all other duties and special projects as assigned.

Education and/or Training:

  • Bachelor’s degree in business, marketing, or hospitality management or equivalent
  • Certified Meeting Professions (CMP) redential preferred

Relevant Work Experience:

  • Five years of meeting planning or travel experience
  • Familiarity with Holman’s business, leaders, and preferences

Pay:

We offer competitive wages that are commensurate with job-related skills, experience, relevant education or training, and geographic location, starting in the range of $56,400.00 - $81,775.00 USD annually for full time employees. The annual compensation range is comprised of base pay earnings.
