What we want

Join our team as an Administrative Coordinator II! The Administrative Coordinator II is responsible for overseeing the daily operations of the Center. In this role, you will ensure the effective coordination of research, teaching, and administrative functions, including managing Center resources and facilities, supervising staff and student workers, and supporting research activities through completing administrative tasks and facilitating communication. You will serve as a key liaison between the Center and university administrative offices.

Salary: $45,000 - $52,130 annually, compensation will be commensurate to the selected hire’s experience.

Qualifications

Required Education and Experience:

  • Bachelor’s degree in Business Administration, or a related field, or an equivalent combination of education and experience
  • Three years of experience in office administration

Knowledge, Skills, and Abilities:

  • Strong organizational, interpersonal, and communication skills
  • Ability to multitask and work cooperatively with others
  • Proficiency in Microsoft Office Suite, Google Suite, and project management tools

Preferred Qualifications:

  • Seeking or earned graduate degree in Business Administration or a related field
  • Five years of experience in a similar role
  • Experience creating accessible digital content in compliance with Title II guidelines
  • FERPA Certification
  • Conflict Resolution Certification
  • QPR (Question Persuade Refer) Gatekeeper Training

Responsibilities

  • Operations & Facility Management: Coordinates administrative support functions for select programs within the Center. Develops, plans, and coordinates administrative activities and services such as scheduling, program planning, and communications. Serves as the program office coordinator. Monitors office procedures for the Center. Develops, evaluates, and ensures adherence to office procedures (e.g. SOPs, quality assurance manuals, product catalog, licensing contracts, and VPATs.). Oversee general office functions such as conference room scheduling, correspondence, inventory, and supply procurement. Reviews and signs documents for supervisor. Attends meetings or committees on behalf of supervisor. Prepares and reviews operational and special reports. Coordinates office records retention and maintains office references and resource materials.
  • Project Management: Analyzes programs, projects, and initiatives regarding the select program within the Center. Monitors project timelines and identify issues. Develops, adapts, combines, and makes improvements to services, processes, or program needs. Assists with promotional and outreach efforts. Interfaces with Human Resources and Employee Development to schedule courses in TrainTraq. Researches, interprets, compiles, and responds to inquiries about programs and services, student needs, and policies and procedures related to select programs within the Center. Coordinates travel arrangements and prepare itineraries for select programs within the Center.
  • Staff Supervision & Training: Supervises, trains, and evaluates staff and student workers. Assigns tasks and evaluates job progress.
