Overview
Event Coordinator works closely to support the Event Planner with the planning, facilitation, and execution of client events
Responsibilities
- Interfaces with the client, operations team, and corporate departments as necessary.
- Assist the Event Planner with the planning and execution of events including employee engagement activities, team meetings, milestone celebrations, holiday, and social events.
- Research and coordinate with vendors and suppliers to acquire necessary services and activities for events. Process required
- paperwork including contracts, agreements, insurance certificates, and payment confirmations.
- Assist with the facilitation of logistics for all events, including space assignments, venue preparation, visitor registrations, catering, entertainment, equipment, and décor.
- Evaluate potential locations, providers, vendors, and other professionals frequently to determine viability for future events and build a personal knowledge base to better serve clients.
- Perform post-event tasks promptly such as post event satisfaction surveys, reviewing invoices and billing statement and maintaining photo libraries from events.
- Responsible for continual communication / interaction with the Event Planner, Facilities Manager and clients relating to the planning and facilitation of event.
- Ability to provide efficient, timely, reliable, and courteous service to customers.
- Provides clear communications and progress reports regarding all aspects of events.
PHYSICAL DEMANDS/MENTAL QUALIFICATIONS
- Requires being on-site 5 days/week and ability to work extended hours as needed for evening events.
- Some travel may be required to facilitate local off-site event.
- Mental qualifications include ability to perform all responsibilities efficiently and effectively.
- Physical activity including bending, reaching, lifting (up to 50 lbs.) and prolonged periods of sitting or standing.
Qualifications
- High school Diploma or equivalent
- Previous experience with coordinating and/or facilitating events, preferably in a corporate setting. · Hospitality and/or food service operations experience a plus
- Proficient in Microsoft Office Suite applications (Outlook, Word, Excel, Ppt)
- Ability to ensure that quality and production standards are met.
- Ability to meet deadlines and understand the time issues involved in records request handling.
- Ability to work extended hours as required.
- Advanced customer service skills, professional attitude, and appearance.
- Advanced organizational, administrative, record keeping and time management skills.
- Excellent written and oral communication skills.
- Must be detail oriented and able to manage multiple projects at the same time.
- Strong team approach to business.
