Administrative Assistant – IT Department / Executive Support

Job Summary
We are seeking a highly organized and tech-savvy Administrative Assistant to support our Director of Systems & IT and the broader Information Technology team. This role is essential to ensuring smooth day-to-day operations, managing high-level administrative tasks, coordinating meetings, and contributing to the success of departmental projects. The ideal candidate thrives in a fast-paced, technology-driven environment and has experience supporting executive-level leadership.
Key Responsibilities
- Provide executive-level support to the Director of Systems & IT, including calendar management, meeting scheduling, and travel coordination.
- Prepare and edit documents, reports, presentations, and internal communications for the IT team and external stakeholders.
- Track project milestones, update timelines, and maintain documentation in project management software.
- Organize and maintain digital records, files, and departmental systems for optimal accessibility.
- Coordinate with vendors for service agreements, renewals, and contract administration.
- Capture meeting minutes, draft agendas, and ensure timely follow-ups on action items.
- Assist the IT service desk with ticket tracking and light technical coordination.
- Collaborate with HR and IT on new hire onboarding—ensuring user account setup, asset allocation, and equipment readiness.
- Act as a point of contact between the IT Director and internal/external stakeholders, managing communication with professionalism and confidentiality.
- Oversee department-wide calendars, important deadlines, and general administrative functions.
- Respond to internal and external inquiries on behalf of the Director as needed.
- Coordinate logistics for events, meetings, and AV setups.
- Uphold strict confidentiality regarding sensitive IT, employee, and company data.
- Perform additional administrative duties as required to support departmental operations.
Skills and Competencies
- Strong organizational, time management, and multitasking skills
- Excellent written and verbal communication skills
- High proficiency in Google Workspace (Gmail, Docs, Sheets, Calendar) and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience using project management platforms (e.g., ClickUp, Asana, Trello)
- Comfort with IT ticketing systems (e.g., FreshService, Zendesk) and asset tracking tools
- Ability to work independently and proactively
- Strong interpersonal skills; able to engage with staff across all levels
- Trustworthy, discreet, and capable of handling confidential information
Qualifications
Required:
- High school diploma or equivalent
- 3+ years of experience as an administrative assistant or executive assistant
- Previous experience supporting an IT department or technical team
- Familiarity with IT systems and technical terminology
Preferred:
- Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field
- Experience with:
- Google Workspace & Microsoft 365
- Project tracking tools (ClickUp, Asana, Trello)
- Ticketing platforms (FreshService, Zendesk)
- IT asset management tools
- Supporting vendor communications and tech project coordination
Work Environment
- Professional office setting with low to moderate noise levels
- Occasional remote coordination may be required
Physical Requirements
- Ability to sit for extended periods and work on a computer
- Must be able to lift/move items up to 20 lbs
- Regular use of hands/fingers to operate tools and controls
- Ability to stand, walk, and reach with hands/arms
- Visual requirements: close vision, distance vision, and focus adjustment
