Job Description

The Admissions Operations Analyst supports the daily processing, troubleshooting, and quality control functions within the Office of Admissions. This role ensures accurate and efficient intake and maintenance of applicant data, documents, and decisions using operational tools within the university's systems, such as Student Information System (SIS), Customer Relationship Management system (CRM), and ApplyTexas. The Analyst focuses on query execution, basic configuration adjustments, Tier 1 troubleshooting, and resolving operational issues that arise during processing.

This position may pay more than the salary listed above depending on the qualifications and experience of the selected candidate.

Responsibilities:

  • Monitor automated system queues and resolve document mismatches or failed imports. Review application records for completeness and route for timely review and decision. Accurately process incoming transcripts, test scores, and application materials.
  • Run saved queries, filters, and reports in the CRM to support daily admissions operations. Maintain standard CRM dashboards, inbox views, and workflow tools for team efficiency. Perform data integrity checks, including population and stage audits. Reconcile duplicate IDs and assist with student record updates in the SIS, under institutional data governance protocols.
  • Identify and resolve routine user or system-level issues in CRM and SIS platforms (e.g., checklist errors, material matching problems). Conduct root-cause analysis on recurring issues before escalating to the Technology Manager or IT team. Collaborate with technical staff to test small-scale changes in forms, fields, and materials without managing configuration design.
  • Generate operational reports to track application progress, missing documents, and data inconsistencies. Support quality assurance through periodic reviews of application data, material matching, and decision accuracy.
  • Respond professionally and accurately to admissions-related inquiries via shared inboxes, phone, or email and serve as a backup to Admissions Counselors during high-volume application periods.
  • Participate in regular team meetings to improve workflow and processing practices. Document and communicate daily system use challenges or breakdowns to leadership or technical partners. Performs other duties as assigned.

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Two years of related experience in higher education and/or admissions.

Required Knowledge, Skills and Abilities:

  • Knowledge of word processing, spreadsheet, and database applications. Knowledge of higher education admissions processes.
  • Ability to multitask and work cooperatively with others. Excellent verbal and written communication skills. Ability to present information clearly and concisely.

Other Requirements:

  • Work beyond normal office hours and/or work on weekends.

Special Requirements:

  • Applicants with equivalent experience in lieu of a Bachelor’s degree may be considered. One year of the related experience is the equivalent of one college year. Applicants being considered for the equivalency must have four years of related experience to meet the equivalency in lieu of a Bachelor’s degree plus the minimum required years of experience. Applicants being considered for the equivalency must have a total of six years of experience.
