The Business Development Specialist plays a vital role within the Client Relations & Solutions Department by supporting the development of new business opportunities and ensuring alignment across proposals, presentations, and CRM systems. This role directly supports the Client Relations Manager, Solutions Manager, and executive leadership in creating customized proposals, managing sales data, and maintaining professional materials used during prospect engagements and solution demos.

The ideal candidate brings a collaborative attitude, strong attention to detail, and the ability to manage multiple deliverables in a deadline-driven environment. Candidates should also be highly organized, tech-savvy, and confident working across departments to support business development goals and client retention.

Other responsibilities include updating prospective clients’ RFP platform and internal CRM system, assisting in demo preparation, formatting SOWs and proposals, and helping drive consistency across client-facing documentation.

Job Requirements

Essential Job Responsibilities:

Proposal & RFP Management:

  • Assist with developing, formatting, and submitting RFPs and proposals.
  • Serve as the full project owner for RFPs, managing each opportunity from inception to close, including coordination across internal stakeholders, setting timelines, and ensuring timely, complete submissions.
  • Extract relevant data and requirements from customer portals or RFP platforms, ensuring all information is accurately incorporated into proposals.
  • Execute or facilitate NDAs when necessary, and collaborate with Legal, Sales, and Compliance to ensure all terms are properly reviewed.
  • Track and report on the status of each RFP, lead follow-up efforts, and maintain documentation for future reference and post-mortem reviews.
  • Collaborate across departments to gather key inputs, including pricing, KPIs, service capabilities, and client-specific requirements.
  • Maintain PSA BDP’s RFPIO platform with updated language, case studies, and domestic Surface service offerings.
  • Draft and format Statements of Work (SOWs) and proposal templates.

Presentation & Demo Preparation:

  • Build and refine sales decks and presentation materials for solution demos and client meetings.
  • Ensure all content is up to date, branded, and tailored to each opportunity.
  • Maintain a centralized content library of sales materials, including pitch decks, product one-pagers, and client case studies.
  • Present proposal and solutions to customers in conjunction with the executive, operations, and account management teams.

CRM & Pipeline Coordination:

  • Maintain accurate records in the CRM, including opportunity status, meeting notes, and contact roles.
  • Log significant milestones in the sales process and generate regular reporting on pipeline activity.
  • Support organization and communication across key follow-up tasks related to new pursuits and proposals.
  • Develop and maintain relationships with global vertical sales and business development teams, serving as the primary contact within the domestic team for all domestic sales activity

Sales Content Management:

  • Regularly review and update external-facing documents to reflect the latest services, tools, and positioning.
  • Work with leadership and marketing to ensure a consistent brand voice and message across client materials.
  • Collaborate on developing new sales materials that align with evolving service offerings and customer needs, including creating case studies and securing client approval for use.
  • Identify outdated materials and streamline redundant content.

Project Support & Collaboration:

  • Coordinate internal meetings to align deliverables for new client opportunities.
  • Assist in transition from sales to onboarding by packaging final documentation and tracking task completion.
  • Develop and coordinate materials for client and or internal kickoff meetings, including agendas, initial task lists, and internal handoff documentation to ensure a smooth transition from sales to onboarding.
  • Proactively identify opportunities for process improvement across proposals, presentations, and CRM workflows.
  • Maintain timelines and due dates for all open RFPs, internal milestones, and submission dates to ensure timely responses.
  • Conduct post-mortems on submitted proposals to identify strengths, weaknesses, and opportunities for improvement.

Job Requirements:

  • Bachelor’s Degree in Business, Marketing, Supply Chain, or related field preferred
  • 4+ years of experience in business development, sales support, or logistics operations
  • Experience working with CRMs (Salesforce, HubSpot, Teamwork CRM) and project management tools (Teamwork, Asana, Monday.com, or similar) preferred
  • Proficiency in Microsoft Office Suite (especially PowerPoint, Excel, and Word)
  • Familiarity with managed transportation, logistics, or supply chain services a plus
  • Travel: 5–10%
