  • Functions under the direction of the Surgical Services Information Systems Coordinator, the Operating Room Manager and the Executive Director of Surgical Services.
  • Responsible for performing a wide variety of clerical procedures that requires independent judgement, ingenuity and initiative in the utilization of computers and other office equipment.
  • Knows the existing lines of communication and authority, handles communications properly and is dependable and cooperative.
  • Understands appropriate scheduling process and works with physicians and their staff to schedule surgery cases accurately and resolve any issues that may occur.
  • Handle heavy phone volume.
  • Audit nursing documentation to assure accuracy with statistical reporting.
  • Enter patient charges in surgical information system within one business day and audit in the enterprise patient billing system.
  • Must be flexible with work hours to meet departmental needs.

RESPONSIBILITIES

Scheduling

  • Demonstrates knowledge and compliance with established scheduling guidelines.
  • Accurately completes all data entry for scheduling of surgical cases in the desired units.
  • Recognizes and adheres to the established guidelines when scheduling late rooms.
  • Audits, prepares and prints verification schedules for surgeon offices and troubleshoots issues arising from communication with offices regarding the schedules.
  • Provides customer service to our physicians and their staff to meet the scheduling needs of the physician and patient.
  • Notifies appropriate staff when cases/procedures are posted requiring special supplies, equipment, and personnel.
  • Communicates with outside departments when their personnel and/or equipment are needed, or scheduling changes are made.
  • Able to access Medical Staff Listing to determine surgeon privileges are appropriate and up to date.
  • Able to properly use computer command functions.
  • Organize and maintain scheduling records, reports and audits.

Auditing

  • Reviews patients computer record to assure accuracy in documentation and statistical reporting.
  • Identifies documentation errors and communicates to appropriate personnel.
  • Facilitates correction of errors and assures that corrections are made in a timely manner.
  • Enters information from paper record into computer system as part of downtime procedures if necessary.
  • Prints audit reports for review of statistical requirements.
  • Prints reports to reconcile the number of patients scheduled versus charts completed.

Charges

  • Enters and submits charges into the surgical services computer system in compliance with charging guidelines.
  • Completes all charges within one business day.
  • Communicates with staff, manager and vendors to assure charge item accuracy.
  • Tracks supply item charges under correct miscellaneous codes and completes paperwork to establish correct markup percentages.
  • Supports hospital auditor to investigate billing questions and to assure accuracy.
  • Confirm and review charges transferred to enterprise patient billing system.

Miscellaneous

  • Operates office equipment efficiently.
  • Demonstrates computer skills and functions well with network applications.
  • Interacts effectively with other team members and promotes a cohesive working environment.
  • Demonstrates strong communication skills and customer service with offices, physicians, etc.
  • Ensures and maintains confidentiality in relation to patient, family, and hospital.
  • Demonstrates the ability to multitask and handle high phone volume and extreme stress.
  • Manages resources efficiently and works with team members to reduce costs and improve quality.
  • Assists in training of new employees.
  • Completes all other job specific tasks as needed.
  • Demonstrates individual initiative and creativity.
  • Takes on assignments that provide opportunity to learn.
  • Encourages, develops, and accepts new and innovative ways of doing things.
  • Flexible with work hours to meet departmental needs.
  • Demonstrates strong service recovery skills.

QUALIFICATIONS

Required Minimum Education:

  • High school diploma equivalent.

Required Minimum Experience:

  • Minimum 2 years Two years experience in medical scheduling Preferred

Required Minimum Skills:

  • Strong customer service skills, good organizational skills, and communication skills.
  • Able to operate office equipment efficiently.
  • Ability to understand and demonstrate knowledge of data information systems.
  • Ability to type at least 50 words per minute with a high degree of accuracy.
  • Ability to multitask.
  • The individual must be able to communicate and understand verbal and written English language and display a positive attitude.
