Advertised Job Summary
The Business Manager of the Koger Center for the Arts will be responsible for all business operation of the Koger Center. This includes operating expenses, event-related revenues and expenses, and Box Office settlement. Serves as Department HR Contact and supervisor of the Box Office manager.
Job Related Minimum Required Education and Experience
Requires a bachelor’s degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Preferred Qualifications
Prefer 5 or more years of job related experience. Prefer experience in Event Management, but not required.
Knowledge/Skills/Abilities
Understanding of basic accounting and financial management principles. Fluent in Microsoft Office, particularly EXCEL. Fluent in Adobe Acrobat. Knowledge of University of South Carolina procurement policies and procedures. Experience with PeopleSoft and PeopleAdmin. Organizational skills and time management skills needed to meet deadlines. Ability to communicate effectively. Ability to establish and maintain effective working relationships with others. Ability to conduct required business lawfully and ethically by consistently adhering to University and State policies, procedures and regulations.
Job Duty
Fiscal management of Wells Fargo revolving fund checking account with support from the USC Bursar and Controller’s Office. Duties to include recording of all deposits made and physical checks written each month using accounting software provided by Data Pro. Deposits originate from Box Office activity and Koger Center event settlement activity. Checks written support event settlements and department Petty Cash fund activity. Fiscal management of this account includes month-end and fiscal year-end reconciliations.

Provide financial and budgetary support for all Koger Center funding – state and auxiliary. Support to include, but not limited to, state procurement, local business purchasing, USC P-Card activity, event planning, and state and federal grant funding. Works closely with Koger Center directors and School of Music financial directors. Develop comprehensive cost analysis of all fiscal activities of the Koger Center to include normal operating expenses of the facility as well as event related revenues and expenses. Prepare reports to assist with the estimation of income and expenses for potential facility users. Requires working knowledge of all USC accounting functions within the PeopleSoft programs, included but not limited to Journal Entry, Payment Request, Purchasing, Accounts Payable, and Accounts Receivable.

Provide management and programmatic support to the Koger Center Box Office. Directly supervises the full time Box Office Manager. Assists with the financial reconciliation of Box Office activity to include credit card processing, credit card disputes and chargebacks, and daily sales balancing. Provides direction in determining ticket fees per event based on contractual agreements with show promoters. Assists with Box Office personnel issues to include hiring and rehiring of part time box office employees. Assist with yearly PCI compliance process through the Bursar’s Office and Campus Guard directives.

Department Purchasing Card Liaison. Provides procedural support to all P-Card holders within the department. Requires knowledge of USC P-Card policy and procedures. Allocates purchases to proper funding and certifies that all procurement policies have been followed.

Department HR Contact. Provides departmental support with hiring procedures of Full Time and Part Time positions within the Koger Center. Requires knowledge of HR and Payroll policies and procedures. Also requires knowledge of USC’s People Admin and HCM programs. Works in partnership with the department directors, additional department HR Contact and School of Music Business Manager (College Division HR Contact) to accomplish hiring and payroll objectives and processes.

Responsible for event settlement preparation and execution. Working directly with Koger Center staff and Box Office management, employee builds event settlement using MS Excel and Adobe Acrobat programs. Settlement document lists event ticket revenue, state and local taxes due, and records all relevant event expenses as per contracts with all building renters – commercial promoters (For-profit and Not For-Profit), sister state agencies, and departments within the USC community. Employee pulls ticket reports from ticketing software program, compiles building expenses from House Manager, Production Manager, and Building Directors. Employee is responsible for accuracy of settlement to include MS Excel formulas, tax calculations, and “allowed” expenses per contracts and letters of agreement. Event settlement requires working knowledge of ticketing system software. Event settlement also requires good working relationships and excellent communication skills with show promoters, building renters, outside vendors, and all pertinent USC department contacts. Responsible for processing event payouts via bank wire, check payment, or Interdepartmental journal entries. Event settlement requires working nights and weekends as applicable per event schedule for approximately 40 events per year.
