IT Project Manager
Location: Akron, OH (Hybrid)
POSITION SUMMARY:
The IT Portfolio Manager will be responsible to effectively perform the required financial and project portfolio management duties for IT Enterprise Services. This role will perform key financial portfolio management activities including demand planning, budgeting, forecasting, vendor communication and reporting. In addition, this role will perform key project portfolio management activities to ensure the portfolio is compliant with the standards and controls governing IT PMO and established within IT Enterprise Services. This position will report to the IT Director of Portfolio Management, IT Enterprise Services and support its 7 unique Digital/Technology areas.
RESPONSIBILITIES:
Portfolio Management Financial Workflow Enablement
- Facilitate demand sizing activities and meetings for new project requests and assemble estimates for capital budget submittal
- Consolidate team-level estimates into a comprehensive IT Enterprise Services resource forecast plan for budget review and approval
- Monitor budget approvals for all previously sized demands to ensure timely financial alignment and project execution
- Submit SOW (Statement of Work) contracts for all IT Enterprise Services Digital/Technology organizations
- Track and maintain the project budget forecasts by organization, project and contract level
- Support Vendor Management Office requests to help resolve any issues preventing the smooth process of the SOW process
- Monitor timely submittal of vendor invoices and perform goods receipts/ coding promptly upon receipt and ensure contract-level forecast updates reflect accurate invoice data
- Create and submit monthly forecasts for owned and supported projects within IT Enterprise Services compliant to IT Enterprise Services leadership, and IT Finance
- Investigate and resolve forecast variances in collaboration with IT Enterprise Services Directors, Project Managers, or cross-functional teams
- Ensure vendors are meeting SLAs and following proper procedures in SOW and invoice submission
- Generate a monthly portfolio status report comprised of statistical data, risks/issues for leadership
- Occasionally engage with Legal or Sourcing Depts and participate in Request for Proposal (RFP) processes
Portfolio Project Management
- Assists with the enforcement of project management governance framework for policies, standards and processes within IT Enterprise Services and the IT PMO, including SDLC
- Assists in the management of project lifecycle within IT Enterprise Services – initiation, planning execution, monitoring and closure
- Support in the establishment of new processes, refinement of existing processes and use of supporting tools and artifacts
- Support project managers in using and adhering to processes, tool integration and artifacts such as (Jira, Confluence, Sharepoint, resource forecasts and related portfolio management tools)
- Work closely with leaders and vendors for capacity planning of resources; ensure allocations are within budgeted forecasts
- Assist with performance measurement and reporting including defining KPIs and metrics (schedule variances, cost variance, resource utilization, project health)
- Monitor projects and work with project managers to identify risks, issues, open decisions when project delivery impact project KPIs resulting in resource constraints, schedule variances and/or budget deficits; work to build contingency plans to close impediments
- Key contributor in creating a monthly report and necessary communication summarizing the portfolio’s current state and health
- Provides on-demand dashboards and reports for IT Enterprise Services and leadership
- Generate demand roadmaps for capacity planning to Signet leadership and external vendors
- Creates initial project artifact framework when a demand becomes an approved project and is turned over to the respective delivery teams
- Documents existing and new procedures and processes as related to the position
POSITION QUALIFICATIONS:
- Bachelor’s degree or higher in Business Administration, Information Technology, Finance, Accounting, related field
- Highly proficient in using SAP with focus on modules that pertain to financial flows (purchase orders, invoicing, data
- Strong application using tools including Excel (mid-range experience creating formulas, data transformation tools such as pivot tables, dashboards analysis/reporting), project portfolio software, PPM support tools such as (Jira, Smartsheet) for forecasting and budget control support
- Certifications in the following areas are preferred.
- PMI Portfolio Project Management Professional and/or Project Management Professional
- Financial Management certifications, training programs or equivalent work experience
- Atlassian Jira Service Management (JSM) suite in project/product management
- 10+ years’ experience supporting a multi-million-dollar portfolio or equivalently sized responsibility in a large corporation
- Previous work experience in a mid-level role within IT Finance or Finance
- Knowledge of PMBOK PMP processes and disciplines that govern project management and how they relate to financial process
- Familiarity with various project management methodologies (agile and hybrid waterfall/agile)
- Financial analysis and budgeting – experience managing cost estimates, CAPEX/OPEX and forecasting
- Experience with vendor relationship management, resource capacity planning and budgeting process
- Familiar with contract lifecycle management process
- Familiar with supporting areas of the business as they pertain to this role including vendor management office, finance, sourcing and legal.
