Front Desk Receptionist / Studio Coordinator (Graphics Company)
Job Overview
As the first point of contact for our creative design studio, you’ll represent our brand’s aesthetic and professionalism. Your role blends welcoming visitors, managing administrative tasks, and supporting our design teams—ensuring our studio operates with both creative panache and operational efficiency.
Key Responsibilities
Guest & Phone Engagement
- Greet clients, vendors, and guests with a warm, design-savvy welcome.
- Answer, screen, and route multi-line phone calls promptly; take messages with clarity.
Studio Coordination
- Inform teams of client arrivals and upcoming design sessions.
- Maintain visitor logs, issue badges, and monitor front-door security protocols.
Admin & Office Duties
- Manage incoming/outgoing mail, packages, and deliveries.
- Order and replenish reception supplies (forms, stationery, portfolios).
- Keep calendars updated and book conference/creative review rooms.
- Support designers with basic clerical needs: copying, scanning, filing, printing.
- Maintain a tidy, visually appealing reception and waiting area.
Support Role
- Assist with light data entry (client contact details, project logs).
- Help prepare simple studio assets (e.g., client briefs, sample boards).
- Collaborate with designers or project managers on ad hoc tasks.
Required Qualifications
- High school diploma or equivalent; some college or arts/office credential preferred.
- 1–2 years in front desk, receptionist, or customer-service roles, ideally in a creative environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with Adobe Suite is a bonus.
- Experience with Quickbooks
- Strong written and verbal communication skills.
- Impeccable organizational and multitasking skills; ability to prioritize under pressure.
- Must be bilingual (Spanish)
- Professional demeanor, great attention to detail, and friendly client-first mindset.
Preferred Skills
- Familiarity with studio workflows, print orders, and creative asset handling.
- Experience booking meetings or appointments in shared calendars.
- Basic knowledge of office equipment: printers, copiers, scanners.
- Understanding of confidentiality—handling design files and client info discreetly.
Working Conditions
- Full-time, Monday–Friday, standard studio hours (e.g., 9?am–5?pm).
- Fast-paced creative studio environment—multiple visitors, deliveries, design teams.
- Occasional assistance at design events or client presentations.
