Duties may include, but are not limited to:

  • Provide high-level executive support to the CEO, ensuring seamless day-to-day operations and coordination
  • Manage and optimize the CEO's calendar, scheduling meetings, appointments, and travel arrangements
  • Serve as primary liaison with government agencies, facilitating communication and collaboration
  • Intake and respond to enquiries, ensuring timely and effective resolution
  • Prepare and distribute meeting agendas, briefing materials, and other supporting documents
  • Oversee and manage the general inbox, ensuring prompt and professional responses
  • Attend meetings, taking accurate minutes and action items, or leveraging AI tools for automation and transcription
  • Coordinate meeting room logistics, including setup, audiovisual equipment, and catering
  • Attend Board meetings, taking minutes and ensuring follow-up on action items
  • Liaise with the Board of Directors, facilitating communication and information flow
  • Assist in preparing presentations, reports, and other materials for the CEO, ensuring high-quality content and visual appeal

Required skills and qualifications:

  • 2+ years of experience in an administrative role in a professional office environment
  • Strong organizational and technical skills, with proficiency in Microsoft Office (Excel, PowerPoint, Word)
  • Excellent written and interpersonal communication skills in English (French a valuable asset)
  • Ability to learn and perform various administrative tasks, including billing and accounting functions (training provided)
  • Highly organized, proactive, and detail-oriented, with a strong ability to prioritize tasks and manage multiple projects
  • Team player with a collaborative, flexible, and self-motivated approach, and a commitment to continuous improvement
