PURCHASING COORDINATOR (FIXED DURATION/TEMPORARY)

The School of Dentistry has an outstanding opportunity for a Temporary Purchasing Coordinator (Fiscal Specialist 2) to join their team.

The Purchasing Coordinator (Fiscal Specialist 2) is a key component of this department. This position will report to the Director of Purchasing and Accounts Payable. This position will solicit and place orders for multiple departments, produce and keep fiscal reports for both individual and combined orders, balance individual accounts within a cost center, compare prices for competing brands, and distribute orders for various dental departments within the School of Dentistry.

The Purchasing Coordinator will compare and select vendors and validate prices for supplies, services, materials, and/or equipment for assigned commodity areas in accordance with state purchasing laws and regulations. They will compare pricing with multiple brands, purchase items for multiple departments, run fiscal reports and balance accounts, and reconcile monthly statements.

DUTIES & RESPONSIBILITIES:

  • Solicit order requests from various departments.
  • Procure supplies, equipment, and services as required to meet needs of various departments and clinics within the School of Dentistry.
  • Combine orders to create bulk orders.
  • Generate order receipts.
  • Balance accounts within a cost center.
  • Reconcile procard and order receipts.
  • Accept supply delivery orders, ensure appropriate items are accounted for and deliver supplies and invoices to respective departments.
  • Troubleshoot erroneous orders, ensure credits are carried through and passed on to the appropriate departments.
  • Communicate with assigned departmental clientele and vendors regarding purchases.
  • Research for new sources of supply; locate and contact vendors and suppliers; provide information on purchasing procedures.
  • Create comparative fiscal reports for competing brands.
  • Create and analyze financial reports (WorkDay and Procard).
  • Create inventory and order reports.
  • Monitor vendor performance as defined by contract provisions.
  • Perform related duties as required.

MINIMUM QUALIFICATIONS:

Three years of experience providing administrative support in the area of fiscal and/or business management.

Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
