Description

Reporting to the Director of Artplay, this position serves as administrative and logistical support to the department of ArtPlay. High level organizational skills and attention to detail are key aspects for the success of this position as it responsible for coordinating the back end of operations for the department. It also serves as the liaison and point of contact for ArtPlay in communication with external vendors, contractors, artists, as well as internal departments/ teams. Uses discretion and judgment with planning and prioritizing work.

Duties & Responsibilities

Serves as the public face of ArtPlay.

Answers phones, greets guests, answers questions.

Obtains information appropriately as requested.

Teaching Artist management.

Initiates contact and communication on hiring process, document collection, invoice processing, and submitting payments.

Liaison to external vendors and program locations.

Initiates contact with schools and off-site locations to ensure contracts are continuously renewed as needed.

Internal liaison in communicating within organization.

Submits all orders, requests, documents, and invoices to Finance team for processing.

Administrative support:

  • Provides support to the department of ArtPlay to include program calendar management and ensuring all events/ activities are submitted to the organization's master calendar.
  • Assists House Management to help setup for meetings, luncheons, or rentals taking place at ArtPlay as needed;
  • collects time sheets to submit to timekeeper.
  • Maintains supply inventory for ArtPlay
  • Reports building issues to Facilities

Manager Registration:

  • Takes full ownership and maintenance of class, workshop, camp registration process.
  • Responsible for the timely communication with all registrants regarding payments, refunds and changes in class schedules.
  • Keeps track of deposits and reports to be submitted to the Finance team.
  • Evaluates programming calendar or receives requests monthly for student workers and place requests with Financial Officer.

Expense Tracking.

  • Maintains Excel spreadsheet of program expenses to be able to provide holistic picture individual program costs.

Perform other duties as assigned

Hourly Pay Range: $18.35 - $23.00

Qualifications

Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
