About the Team The Global Brand and Communications Operations team identifies and implements the processes, insights, and efficiencies to help the Global Brand and Communications team operate smoothly and at scale. The team works across Global Communications, Global Marketing, and Global Corporate Social Responsibility to provide strategic, operational and administrative support. The team serves as a liaison to key XFN partners, including Procurement, Finance, Legal, Talent Acquisition, and Human Resources, as well as operationally manages the press inbox and provides media and social analysis insights related to company announcements. We are seeking an Executive Assistant to support the Global Head of Brand & Communications as part of a multi-person office. You'll own calendar management, meeting coordination and travel arrangements, and project organization and communications across multiple timezones and stakeholders. You will be expected to work with minimal guidance, take action on urgent priorities, and act with a high level of discretion when handling confidential information. This role is focused on ensuring the leader's day-to-day calendar, engagements, logistics and support are managed seamlessly and proactively, anticipating needs that may arise before being asked. Responsibilities - Managing 1-2 complex calendars strategically (look ahead to identify and troubleshoot issues) and tactically - Coordinate and manage all logistics for key meetings - Organize information, update and create spreadsheets and produce ad hoc reports - Support department-wide administrative work - Facilitate communication with external stakeholders on behalf of executives - Assist and communicate in decision-making, project management, and initiative implementation - Improve current processes and coordinate organizational procedures for optimized efficiency and productivity - Anticipate needs, provide high-level executive administrative support and project management tasks - Support the department with operations and administrative tasks as needed

Qualifications

Minimum Qualifications - Experience assisting senior leadership in an administrative capacity - Excellent written and verbal communications skills - Experience dealing with a high degree of discretion and ability to keep information confidential - Extremely versatile, dedicated to efficient productivity - Bachelor’s degree Preferred Qualifications - Experience working in a fast-paced environment with little room for error - Highly organized and detail oriented with a proactive work-style - Comfortable working across different cultures and multiple time zones
