Provide office and records management support to the Employee Health Manager/Nurse. Coordinate tracking, notification of associates and record keeping of follow-up for infectious disease, blood exposures and annual E.H. reviews. Provides quality control check of post-offer, pre-hire medical exams and notify associates of required follow-up. Establish and maintain confidential medical and database records for individual associates, employee health programs, work-related injury/illness, and exposures, and for federal and state requirements. Produce statistical and process improvement reports for EH program. Communicate E.H. issues and appointments to associates and department managers. Provide appropriate associate access to records. Act as liaison between E.H. and H.R. for associate updates and as needed. Provide coverage for office and injury/illness management in the E.H. Manager/Nurse’s absence. Provides work direction to E.H. Technician and volunteers. **The value you’ll bring to the team:** + Interact with customers with a cheerful and helpful attitude, providing attention and service. + Manage associate and department needs and scheduling with flexibility. + Issue properly completed return to work permission slips. + Notify associates and departments of need for EH follow-up. + Honor employees’ dignity, privacy and confidentiality, and respect human diversity. + Answer the telephone promptly, professionally, pleasantly and provide problem solving and message communication with the EH Manager. + Supervise EH Tech and volunteers. + Demonstrates and conveys a favorable image of the Medical Center. + Demonstrate an acceptance and support of change throughout the department. + Display reliability by being on time, providing adequate coverage when absent, and avoiding excessive absences. + Create a positive, business-like impression when communicating with other departments. + Use appropriate access to the Destiny payroll system. + Act as a liaison between EH and Human Resources. + Prioritize workload to meet deadlines. + Incorporates patient, physician, customer needs and concerns into decision-making and organizational action. + Oversee database management and communication with the CDC through the NHSN program. + Respond promptly to associate health concerns and requests. + Establish and maintain confidential medical and database records for associates, EH programs, work-related injury/illness and exposures and for federal and state requirements. + Provide appropriate associate access to EH records and prepare and issue required state and requested documentation. + Maintain quality control review and documentation of post-offer, pre-hire medical exams, with notification of results and scheduling of required EH follow-up and initial reviews. + Provide attentive cooperation and communication of EH issues, recurrent notices, annual reviews and appointments with department directors, supervisors, employees and external customers. + Coordinate set- up for annual flu vaccine program. + Provide direct secretarial support to the Employee Health Manager as needed. + Coordinate tracking, notification and record keeping of follow-up for infectious disease and blood exposures. + Cooperate with the EH Manager in maintaining the EH program in response to regulatory guidelines, accrediting body standards and government regulations. + Produce statistical and process improvement EH reports for associate infectious disease, infectious disease exposure, OSHA sharps injury log, monthly associate Annual Review status reports as needed. + Provide coverage and problem solving for office and injury/illness management in the EH Manager’s absence. + Maintain a professional image in dress, written and oral communication. + Provide documents that are attractively formatted and without typographical/grammatical errors. + Participate in the preparation of the annual EH/WC budget. + Review monthly budget reports to track use of resources and budget justification. + Manage all resources available to the employee health office responsibly and cost-effectively. + Order office and clinical supplies, as needed. + Maintain an organized system of workflow.
