We are seeking a Supervisor, Office Services to join the DC office. The Supervisor of Office Services orchestrates the efficient operation of office support and facilities management. They develop and enforce office policies, manage vendor relations, and ensure health and safety standards compliance. Their role involves leading the office support staff, optimizing procedures, and resolving service-related issues. They also collaborate with various departments to fulfill office service needs and contribute to the firm's strategic departmental planning.

Specific duties may include but are not limited to:

  • Managing and coordinating office support staff to ensure smooth operations for all lawyers and allied professionals.
  • Coordinating office services such as copy center, mail distribution, supplies management, and vendor relations.
  • Overseeing the maintenance of office facilities and equipment, knowing when to escalate issues.
  • Monitoring inventory levels and assists with the coordination of purchasing office supplies as required.
  • Processing invoices, noting their accuracy and completeness, before submitting them to Accounting for payment.
  • Providing training and guidance to office support staff as needed.
  • Identifying opportunities for process improvements and cost-saving initiatives.
  • Assisting management in supporting their assigned duties and/or special projects to ensure the timely completion of firm and office projects.
  • Assisting with ad hoc administrative and other tasks as required or requested by the Director of Administration, Administrative Manager, or Manager of Office Services and Facilities.

Knowledge, Skills, and Abilities Required:

  • High School Diploma or equivalent required. Bachelor's Degree preferred.
  • This role requires at least three years of experience working in an administrative role within a professional services or related office environment.
  • Demonstrated experience managing multiple priorities in a changing and demanding environment.
  • Accustomed to working independently and collaborating as a team member.
  • Possess outstanding planning, organizing, and people relations skills.
  • Possess excellent verbal and written communication skills.
  • Demonstrated ability to meet obligations with confidentiality, integrity, and sensitivity.
  • Anticipate and correct problems, establish conclusions, and develop creative solutions.
  • Ability to encourage and build positive relationships and communicate effectively with all co-workers and outside vendors.
  • Ability to routinely demonstrate and create a helpful and positive work culture.

Working Conditions:

  • Requires sitting, standing, bending, stooping, walking and reaching.
  • May require lifting up to 50 pounds.
  • Mobility within the office, including movement from floor to floor.
  • Professional office environment.
  • Frequently work at a fast pace with unscheduled interruptions.
  • Responsibilities may require an adjusted work schedule, including working beyond the regular work schedule and evening/weekend hours to meet deadlines.
  • Daily use of computer and other appropriate equipment.

Compesation Salary $90,000 - $136,000

The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
