Position Overview
We are partnering with our client in the construction industry to identify an experienced Office Administrator who will serve as the backbone of daily operations. Key Responsibilities
- Manage front desk operations including greeting visitors, answering multi-line phone systems, and directing inquiries appropriately
- Coordinate and schedule meetings, appointments, and conference room bookings
- Maintain filing systems, both physical and digital, ensuring accurate record keeping and easy retrieval
- Process incoming and outgoing mail, packages, and deliveries
- Assist with travel arrangements and expense report processing
- Support HR functions including maintaining personnel files and assisting with onboarding procedures
- Prepare correspondence, reports, and presentations using Microsoft Office Suite
- Monitor and order office supplies, maintaining adequate inventory levels
- Coordinate with vendors and service providers for office maintenance and equipment needs
- Provide general administrative support to various departments as needed
- Handle confidential information with discretion and professionalism
Required Qualifications
- Minimum of 2 years of office administration or related administrative experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills
- Excellent organizational abilities with keen attention to detail
- Ability to multitask effectively in a fast-paced environment
- Professional demeanor with strong interpersonal skills
- High school diploma or equivalent required
Preferred Qualifications
- Associate's degree or relevant certification preferred
- Experience with database management systems
- Previous experience in a similar industry
