About the role

We have a brand-new opportunity for a Receptionist to join our Administration team based in our Manchester office. The Receptionist plays an integral part as the face of the Manchester office to clients, visitors, and staff. In addition to this, the Receptionist assists the PA with overflow administration tasks from the Engineering teams.

In this key and varied role, you can expect to:

  • Be the face of reception, warmly welcoming visitors, and clients to the office.
  • Answering & fielding all types of calls and enquiries, taking phone messages where relevant.
  • Manage deliveries to the office and communicate with owners of parcels to collect items quickly and efficiently.
  • Ensure the office remains tidy and presentable.
  • Ordering office supplies.
  • Monitoring timesheets and expenses for the office.
  • Book meeting rooms and manage meeting room calendars.
  • Arrange refreshments and catering for meetings, where necessary.
  • Be the named point of contact for booking project travel and accommodation requests.
  • Support the admin team with the effective running of our office and administrative duties.
  • Assist engineers with overflow of workloads, including formatting, printing, binding and any other administration duties as part of the team.
  • Assist in organising internal meetings as required.
  • Assist in the organisation of any office general maintenance activities.
  • Liaise with Building Management as required.
  • Upload/download documents from project portals (Aconex, Asite, 4 Projects, BIM 360).
  • Maintain document control systems.
  • Coordinate document workflows.
  • Process visitor passes for projects where applicable.
  • Other duties as directed.
  • A minimum of 3 days office based, this must be adaptable for meetings.

About you

Receptionist experience is not necessarily essential, but experience of working in an office environment and supporting a team in this way would be beneficial. The successful candidate will have a meticulous eye for detail and a methodical approach to their work.

  • Confident and articulate telephone manner.
  • Strong organisational skills and the ability to multi-task are essential.
  • You will have excellent communication and interpersonal skills and be confident communicating with people at all levels, to enable you to build good working relationships with all those around you.
  • You’ll be as happy working on your own initiative as you are following direction.
  • Working as part of a team, you’ll have the ability to manage expectations and seek help when required.
  • A good working knowledge of Word, Excel, PowerPoint, and Outlook is essential.
