Baylor Scott & White Medical Center - Sunnyvale is seeking a Supervisor of Surgery Scheduling to oversee the daily operations of the surgery scheduling department to ensure efficient, accurate, and timely scheduling of surgical procedures. This role is responsible for coordinating with surgeons, clinical staff, and external offices to optimize surgical block time, maintain regulatory compliance, and deliver exceptional patient service. The Supervisor also provides leadership and support to scheduling staff, ensuring performance standards are met in alignment with hospital goals.
What your day will look like:
- Supervise surgery schedulers and ensure proper coverage and workflow.
- Coordinate surgery schedules in collaboration with surgeons, anesthesiologists, nursing teams, and external offices.
- Monitor surgical block utilization and make recommendations to optimize scheduling efficiency.
- Ensure all surgical procedures are scheduled in accordance with hospital policies, payer requirements, and regulatory standards.
- Provide training, coaching, and performance evaluations for scheduling staff.
- Serve as a liaison between surgeons’ offices and hospital departments to resolve scheduling conflicts and clarify information.
- Ensure complete and accurate documentation is obtained for all scheduled procedures (e.g., orders, consents, pre-authorization).
- Participate in process improvement initiatives related to scheduling and patient flow.
- Escalate issues to leadership as needed, including delays, complaints, or procedural conflicts.
- Maintain strict patient confidentiality and uphold HIPAA regulations.
- Generate and review scheduling reports to track trends, volume, cancellations, and efficiency.
- Maintains log of all scheduled procedures for all areas , O.R., DSU, Cath Lab, and Endo on daily basis.
- Maintains accurate record of all follow-up calls to patient and physicians.
- Responsible for knowing hospital policies and being familiar with hospital services that are available.
- Refers patient to the Business Office when financial arrangements need to be made.
- Demonstrates an ability to be flexible, organized and function well in stressful situations.
- Treats patients and their families with respect and dignity; ensures confidentiality of patients’ records.
- Interacts professionally with patient/family and provides explanations and verbal reassurance as necessary.
- Maintains a good working relationship both within the department and with other departments.
- Ensures that documentation meets current standards and policies.
- Answers the telephone in a polite manner and communicates information to the appropriate personnel/family member.
- Checks and stocks supplies as needed.
Success Factors:
- High school diploma or GED required.
- Associate or Bachelor's degree in healthcare administration or related field preferred.
- Minimum of 3 years of experience in surgical scheduling or a healthcare administrative role.
- At least 1 year of supervisory or lead experience in a hospital or clinic setting preferred.
- Strong knowledge of surgical terminology, medical documentation, and procedure coding.
- Proficient in scheduling software (e.g., Cerner, Epic, Meditech) and Microsoft Office Suite.
- Excellent interpersonal and communication skills.
- Ability to multitask, prioritize, and resolve conflicts effectively.
- Detail-oriented with a focus on accuracy and compliance.
- Strong leadership and team development skills.
