Summary

Updates and maintains various electronic records and databases; researches and prepares statistical reports; maintains inventory of office supplies; serves as a primary communications contact for assigned unit or division; responds to questions and complaints; greets people in person and on the telephone and directs them appropriately; processes incoming mail; copies and delivers files, documents, and information; types letters and memos; and may act as notary public.

Duties and Responsibilities

  • Updates and maintains various electronic records and databases and prepares statistical reports regularly
  • Researches records for information needed for reports and makes copies of documents or information and distributes or delivers it to the appropriate location
  • Maintains adequate inventory of office supplies for assigned unit or division
  • Serves as primary communications contact for assigned division or unit with other departments or outside persons
  • Answers multi-line telephones, routes calls, and takes messages, including responding to moderately complex questions and complaints
  • Greets visitors and directs them appropriately
  • Opens, sorts, and distributes mail and types correspondence
  • May serve as a notary public for the unit or division
  • Assists unit staff as needed

Minimum Qualifications

  • High School Diploma or GED equivalent, plus at least two (2) years of general office experience, including at least one (1) year secretarial experience; or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities
  • Must have a valid Texas driver's license or available alternate means of transportation
  • Must be able to type 55 wpm with no more than 7 errors
  • Must secure and maintain a favorable background investigation
  • Must complete a pre-employment physical and a pre-employment drug screen test
  • Knowledge of basic office and secretarial practices and procedures; knowledge of English spelling, grammar and punctuation; knowledge of word processing, database or spreadsheet software packages; knowledge of juvenile law and case management practices; and knowledge of basic bookkeeping practices, word processing, spreadsheet software, and other computer applications utilized by the department
  • Skills in operating a computer, typewriter and basic office equipment; and skill in reading and interpreting legal documents
  • Ability to accurately enter data and file information; ability to understand and follow verbal and written instructions; ability to establish and maintain effective working relationships with co-workers, other County employees, and the general public; ability to type quickly and accurately; ability to manage time effectively; ability to handle difficult clients; ability to compile, read, and analyze statistical data; ability to perform basic mathematical calculations; and ability to communicate effectively, both orally and in writing
  • This is a non-supervisory position. Employee receives direct supervision when performing the essential functions. Well-defined procedures are used when completing work assignments. Job has limited impact on work unit operations
  • Judgment is required in selecting appropriate established guidelines to follow and employee uses limited discretion to complete work assignments. Initiative is required to complete work assignments. Decisions are made regarding individual work priorities
  • Frequent contact with co-workers and the general public and occasional contact with other County employees. Communication is primarily in person and via telephone
  • May be required to work more than 40 hours during the workweek

The employee frequently is required to work under time pressures to meet deadlines, to perform multiple tasks simultaneously, and to work closely with others as part of a team. The noise level in the work environment is usually moderate

  • The employee is subject to sitting, standing, reaching and handling to perform essential functions. The employee frequently is required to stand and walk; and the employee may be required to lift and/or move objects weighing up to 20 pounds, such as books, files, and stacks of records. Department Job Requirements: Staff members may work in any of the units identified below:

  • The Probation Field Units are responsible for providing pre- and post-adjudication services to juveniles who have been referred to the department on offenses of the grade of felony and misdemeanors
  • The Felony Intensive Supervision Unit is responsible for providing a dispositional alternative by the courts to provide more intensive monitoring of offenders in the community setting when standard probation is not appropriate and residential placement or commitment to the Texas Youth Commission is imminent
  • The Specialized Intensive Supervision Units are responsible for providing a dispositional alternative by the courts to provide more intensive monitoring of offenders in the community setting when standard probation is not appropriate. These officers receive specialized training in the areas of gang activity, substance abuse, electronic monitoring and sexual offender modalities
  • The Early Intervention Division consists of the School Based, Specialized Diversion, and Diversion Units, which are responsible for providing early intervention services for juveniles referred to the probation department for misdemeanor offenses, CINS (Conduct Indicating a Need for Supervision), and truancy related offenses
  • The Intake Unit is responsible for receiving, processing and the distribution of all referrals for the probation department. As the first contact of the juvenile justice system, the unit serves as a resource broker/provider to juveniles and their respective families (explains the process of the juvenile justice system, describes the functions of the different programs/services that the department has available and when necessary provides crisis intervention services)
  • The Residential Services Unit is responsible for the evaluation, coordination, and facilitation of residential placements, including monitoring contractual facilities for complianceof the Texas Human Resource Code and Texas Juvenile Probation Commission Standards
  • The Community Service Restitution Unit is responsible for arranging work sites and coordinates work crew opportunities for offenders on probation or deferred prosecution
  • The Victim Services Unit is responsible for acting as the primary link between victims of juvenile crime and the Juvenile Justice System
  • The Special Services Unit is responsible for recruiting, training and supervising volunteers in the delivery of services to juveniles and coordinates and oversees the implementation of various programs within the unit
  • The Institutions Division is responsible for a 192- bed short-term pre-adjudication facility and a 96-bed post-adjudicated correctional facility
  • The Child Support Probation Unit is responsible for supervising individuals that the court has placed on probation for failure to pay child and medical support payments
  • The Clerical Unit is responsible for providing closing cases, Texas Youth Commission commitments and providing basic clerical services to the department
