Position Summary:

The Ferkauf Graduate School of Psychology is seeking a Director of Operations & Administration who will be responsible for the administrative operations for the School.

Position Responsibilities:

Human Resources & Payroll

  • Oversee the full life cycle of hiring for all employee types, including faculty, adjuncts, students, temporary staff, and casual workers.
  • Create and manage PageUp requisitions, ensure timely submission of pre-hire documentation, and collaborate with Human Resources to establish appropriate compensation and hiring rationales.
  • Monitor employment status each semester to determine continuation or termination.
  • Coordinate the submission and tracking of EPAFs.
  • Partner with the Dean and Associate Dean to manage faculty recruitment and annual reappointments; liaise with the Provost’s Office for documentation related to secondary appointments and faculty overloads.
  • Ensure timely collection and submission of all payroll documentation, including back-pay requests as needed.
  • Review and approve timecards for bi-weekly, and student employees.

Procurement & Accounts Payable

  • Act as primary liaison for vendor coordination and payment processing, including onboarding of new vendors through the Purchasing Office.
  • Conduct comparative pricing analysis to support cost-effective purchasing decisions; place orders using Maccabuy and follow up with approvers to ensure order completion.
  • Review and approve purchase requests submitted by faculty and staff.
  • Facilitate timely payments and reimbursements by adhering to Accounts Payable protocols, tracking payment statuses, and resolving issues related to delayed or missing checks.
  • Draft and route vendor contracts for legal review and act as the main point of contact between vendors and the legal department.

Budget & Finance

  • Collaborate with Budget and Finance offices to develop annual budgets for all Ferkauf programs at both the department and program levels.
  • Monitor budget activity weekly to ensure appropriate spend rates and identify potential variances.
  • Allocate funding sources for a wide range of transactions including internal payments, external vendors, new hires, one-time payments, and interdepartmental charges.
  • Provide timely and accurate financial reports to the Dean’s Office.
  • Approve monthly PCard transactions and ensure compliance with institutional purchasing policies.

Continuing Education Programs

  • Facilitate hiring and payment of individuals conducting workshops, continuing education (CE) programs, guest lectures, and conferences at Ferkauf.
  • Manage CE programing at Ferkauf, including overseeing the scheduling of speakers, participant registration, and awarding of certificates of program completion.
  • Work with Dean’s office staff to organize workshops and conferences hosted by Ferkauf.

Experience & Education Background:

  • 5+ years experience in higher education administration
  • Master's degree preferred

  • Attention to detail, with a commitment to accuracy in all aspects of work, from documentation to communication.

Salary Range:

$118,000-$118,000
