Position Summary

At Stony Brook Medicine, our Patient Access Services team is responsible for completing varied, diverse and specialized duties to support the Revenue Cycle, Compliance and Patient Experience by accurately and efficiently completing tasks in areas of Registration, Financial Screening and Verification, and patient throughput.

Qualified candidates will demonstrate excellent communication skills, interpersonal skills, knowledge and understanding of patient care and effectively respond to changing patient needs by making decisions based on ethical principles and adhering to our high standard of excellence.

The Patient Access Services, Lead is responsible for assisting the Supervisor in the Hospital Outpatient Admitting office. Supports efficient patient arrival processes and ensures staff courteously and professionally obtain accurate and complete demographic and financial information in person or remotely following established processes. Ensures appropriate consents and regulatory signatures are secured from patients or designee, essential for treatment and payment. The Lead adheres to strict rules of confidentiality, department, and organizational policies and procedures.

Duties of a Patient Access Lead may include the following, but are not limited to:

  • Serves as the registration super user in Hospital Outpatient Admitting Office workflows and processes. Supports and guides staff in matters of registration protocols, policy and procedures and patient experience.
  • Assists a supervisor in monitoring and coordinating staff work efforts to ensure patient registrations, insurance verification, and copayment collection are completed in a timely manner. Assists with “on the job training” as appropriate.
  • Assists a supervisor in activities to ensure excellence in throughput for ambulatory patients. This will include ambulatory surgery, same day admissions, and hospital outpatient procedures.
  • Responsible for ensuring correct coding of patient types, medical services, and verification of authorizations to support clean billing and revenue cycle goals.
  • Completes patient registrations. Verifies coverage eligibility and determines patient cost share (co-pay) using electronic systems and other means, taking payments at point of service.
  • Provides financial guidance and excellence in Financial Care to patients and their representatives, presenting information about their benefit coverage and cost share responsibilities. Provides information on financial assistance services to self-pay patients, collecting required deposits when appropriate.
  • Determines eligibility and patient cost share (co-pay and/or deposit etc.) using electronic systems and other means, taking payments at point of service.
  • Ensures that compliance regulations are met (presenting and securing consents and regulatory signatures from patients or designee, essential for treatment and payment, as per procedure).
  • Maintains and requires appropriate documents as necessary (i.e. copies of photo ID and insurance documents etc.). Witnesses general consents, agreements, and acknowledgements.
  • Appropriately relays issues identified as needing higher level intervention to supervisory attention.
  • Works in collaboration with a supervisor on leadership shift coverage.
  • Assists with other registration tasks as assigned.

The selected candidate will be required to work weekends and holidays. Pass days for this position will fall on weekdays.

Essential Position: This function/position has been designated as “essential.” This means that when the Hospital is faced with an institutional emergency (staff shortages, increased census, inclement weather, and/or other emergencies), employees in such positions may be required to remain at their work location or to report to work to protect, recover, and continue operations at Stony Brook Medicine, Stony Brook University Hospital and related facilities.

Qualifications

Required Qualifications:

  • Associate Degree with 2 years’ working experience in a customer service, public health, healthcare, or related industry such as insurance.
  • In lieu of degree, a minimum of 4 years’ demonstrated excellence working in a customer service/call center, healthcare, or other related industry requiring skills which demonstrate experience in access services, insurance reimbursement, or payment collection.

Preferred Qualifications:

  • Billing, accounts receivable or customer service, call center experience.

In accordance with the New York State Department of Health (DOH) order that all hospitals and nursing homes “continuously require all personnel to be fully vaccinated against COVID-19,” Candidates who are not already vaccinated must obtain the first dose of the vaccine within three (3) calendar days of acceptance of conditional job offer and must obtain any subsequent doses in accordance with the vaccine protocol.   • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services*
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 5 panel drug screen*
  • Successfully complete a Background Check investigation.
  • Provide a copy of any required New York State license(s)/certificate(s).

Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.

Anticipated Pay Range:

The salary range (or hiring range) for this position is $52,993 - $64,599 / year.

The above salary range represents SBUH’s good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate’s validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.

Some positions offer annual supplemental pay such as:

  • Location pay for UUP full-time positions ($3,400).
