Job Description
PURPOSE/ SUMMARY OF POSITION
To provide administrative and operational support to Support Services with a focus on Hospital Police, Safety/ Fire/ EM departments. Would oversee the comprehensive needs of these departments by helping coordinate budget meetings, quality assurance & compliance activities, track expenditures, organize files & track deliverables. Handle office functions such as day to day procurement of supplies, special requests, and vendor queries. Would facilitating communication acting as the key liaison for vendor & staff requests.
SUMMARY OF DUTIES AND RESPONSIBILITIES
- Actively monitors, forwards, and responds to inquiries received via department shared mailboxes & phone calls.
- Will help establish uniform correspondence procedures and style practices.
- Responsible for the day-to-day administrative tasks of the Gotham Command Center at Cumberland & maintains a memo log.
- Helps develop, track and publish metrics to evaluate departmental financial and operational performance.
- Recommends process improvements practices based on committee findings & operational activities.
- Keeps accounting of system-wide HP work schedules & helps track coverage in conjunction with management to maximize efficiency and lower OT.
- Actively takes part in environment of care activities such as meetings and may be asked to join periodic rounds and coordinate with appropriate departments to gather documentation.
- Takes part in departmental team huddles and meetings and provide administrative updates as needed.
- Assists with the administrative coordination all of major projects related to security and safety.
- Implements leading preventative maintenance strategies and ensures system are compliance with all applicable standards.
- Works closely with various vendors (Security, Fire, etc.) on the management of equipment & testing, and inspects/ verifies vendor performance to maintain the highest standards of patient care.
- Acts as primary liaison for Security systems and works closely with enterprise IT & vendors to ensure systems stay online & function as intended.
- Maintains and may be requested to pull CCTV among related footage per protocol.
- May assist the HP Chief with responding to requests from outside Law Enforcement agencies.
- Demonstrates the ability to effectively communicate with all persons including staff, patients, visitors, and regulatory agencies.
- Works closely with the rest of the Support Services unit to ensure cross-collaboration and standardization of activities.
- Takes on special administrative projects pertaining to system-wide consolidation of services.
- Maintains a practical knowledge of all relevant policies, procedures and regulations and will be required to review & prepare operational manuals and procedures.
- May at time represent the department in external contracts with organizations & agencies as required.
- Role is stationed at Cumberland but is Gotham-wide. Individual may need to visit sites for specific events, vendor troubleshooting, or other operational needs.
Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,
2. A satisfactory combination of education, training and experience.

- Computer skills, including Microsoft Office, high level in Excel & databases
