Basic Function: This is a full time exempt position responsible for handling a wide range of administrative related tasks and will be able to work independently with minimal supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a large office of diverse people and programs.

Principal accountabilities:

Essential Core Duties and Responsibilities

  • Office Management
    • Regional office liaison
    • Meeting coordination – Regional & Finance & Operations & Updates
  • Monthly Newsletter preparation
    • Office space maintenance (landlord interaction)
    • Receptionist duties (answers phones, update meetings, employee listings, technology request, supply ordering)
    • Promotional item inventory/ordering
    • Storage / File Retention
  • Operations
    • Coordinates with IT consultant for maintenance and problem solving of computer equipment and software, network issues, servers, and purchase of new equipment.
    • Reviews and maintains phone contracts, equipment’s contracts and service contracts. Investigates options with vendors for best offerings
    • Copier Maintenance and problem solving
    • CE & Licensing monitoring/tracking

  • Salesforce
    • New Sales and Pipeline reporting for financial packet
    • Demographic reporting
    • Champion for office
    • Gains/Losses reporting
    • Bonus Tracking reporting

Desired Skills

  • Exceptional written, oral, interpersonal communication skills
  • Advanced MS Office skills, to include excel, word, power point
  • Excellent calendar management skills with meeting planning experience
  • Ability to work both independently and within a team environment

Desired Qualifications: 3 Years office management experience for 100+ employees.

The base salary range for this position is $50,000 – $80,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
