JOB SUMMARY:
The Executive Assistant to the Chief Academic Officer (CAO)/Provost addresses all executive administrative functions of the Office of the CAO/Provost. This individual will oversee and coordinate the office's daily operations, acting as the primary point of contact for the CAO/Provost and supporting the CAO/Provost with all communications out of the office. The Executive Assistant is responsible for maintaining the Academic Program accreditation docket and is the budgetary administrator for the Office of the CAO/Provost. The chosen candidate will demonstrate a clear understanding of the values of diversity, equity, and inclusion and the importance of keeping data and information in confidence. Please note: This is not a remote position. The Executive Assistant to the CAO & Provost role requires full-time, on-site work at Post University's main campus in Waterbury, CT. Only candidates who are able to work in person will be considered.
Essential Accountabilities:
- Effectively oversee and coordinate the daily operations of the CAO/Provost's Office by providing multi-faceted administrative and technical support.
- Act as the primary point of contact for the CAO/Provost's Office for internal (faculty, associates, executives, students, etc.) and external (Trustees, parents, community members, vendors, partners, external colleagues) stakeholders.
- Maintain a complex set of schedules with a high volume of meeting requests, including arranging details of meetings/appointments, helping to set agendas, and taking minutes.
- Compose, edit, proofread, and otherwise help prepare communications, reports, presentations, videos, and other documents/files for distribution from the CAO/Provost's Office.
- Collect and compile data and metrics from across the Schools, College, and Academic Departments into designated formats.
- Coordinate and maintain the integrity of the University's Academic Program accreditation docket by monitoring for and acting on upcoming due dates.
- Act as the budgetary administrator of the CAO/Provost's Office by overseeing the processing of expense reports, purchase orders, and requisitions.
- Ensure all purchases are correctly recorded under the proper budget line and monitor overdrafts. AE June 2025
- Support the CAO/Provost in the annual budgeting process for the various Academic Affairs departments.
- Plan and organize the conference and other travel for the CAO/Provost and Assistant Provost.
- Coordinate or lead assigned Academic Affairs projects.
- Support Academic Affairs and University-wide events, including invited speakers, Honor Society Induction Ceremony, and Commencement.
- Serve on University committees on behalf of the CAO/Provost's Office.
- Keep all information, data, and sensitive matters in the highest confidence.
- Maintain a general understanding of the work performed in each Academic Affairs department such that they can step in and support those associates if needed.
ADDITIONAL RESPONSIBILITIES:
- Maintain supplies needed for the Office of the CAO/Provost and the Program Chair. office in MacDermid Hall.
- Supervise student workers.
- Other duties as assigned by the CAO/Provost.

Qualifications:
- A Bachelor's degree is required.
- Five to Seven years of experience in higher education administration.
- Knowledge of state and federal higher education policies is preferred.
- Exceptional verbal and written communication skills- including editing and proofreading.
- Excellent organizational and project-management skills: outstanding ability to prioritize workload while completing multiple projects and troubleshooting concerns submitted by various stakeholders.
- Advanced knowledge of Microsoft Office software programs- including Word, Excel, Outlook, and PowerPoint.
- Demonstrated ability to work with confidential information and metrics.
- Ability to build and foster excellent working relationships across departments.
