What’s the job?

The Executive Assistant provides high-level administrative and organisational support to the Vice Presidents of Student Experience and People & Talent. This role is responsible for managing complex diaries, coordinating travel and meetings, and preparing executive-level documents and communications.

Acting as a key point of contact, the EA ensures smooth day-to-day operations, maintains confidentiality, and supports the delivery of strategic priorities across both portfolios. Success in this role requires strong attention to detail, sound judgment, and the ability to manage competing demands in a dynamic environment.

Accountabilities (but not limited to):

  • Provide high-level, confidential administrative and executive support to the VPs
  • Manage complex calendars, travel arrangements, conference bookings, and accommodation
  • Prepare detailed travel itineraries, agendas, briefing materials, and background research for meetings
  • Draft and edit reports, presentations, speeches, submissions, and other professional correspondence
  • Continuously improve administrative systems and processes to enhance efficiency and accuracy
  • Liaise professionally with the TGE Executive Team, internal stakeholders, and external representatives, including dignitaries
  • Coordinate national meetings, events, and teleconferences, including logistics, minutes, and action tracking
  • Record, transcribe, and distribute accurate minutes and meeting outcomes

Who you are:

  • Post graduate qualifications in a relevant discipline is preferred
  • Significant previous experience supporting a Senior Executive
  • Extensive diary management and full itinerary travel scheduling experience
  • Experience in implementing and maintaining document management and control systems
  • Demonstrated experience in the preparation of agendas and minutes
  • Advanced MS Office program skills including Word, Excel, PowerPoint and Outlook
  • Exceptional organisational skills and commitment to detail
  • Highly developed time and project management skills and demonstrated ability to meet deadlines and to effectively manage multiple projects including the organisation of events and functions
  • Strong verbal communication, interpersonal and public relations skills to enable professional interaction with a range of people and cultures including senior management and other staff, the public, dignitaries and representatives from other organisations in the AMEA Region
