OFFICE ASSOCIATE I - (T227641)

Description

Under general supervision, performs standard clerical and administrative duties. Requires demonstrated knowledge of the fundamental concepts, practices and procedures of the secretarial function usually gained through formal education in secretarial science or secretarial experience. Reads, prioritizes and routes incoming mail. Makes travel arrangements and reservations. Schedules appointments. Orders supplies, maintains databases and reports. Assists with special projects. Drafts and types correspondence. May supervise other support personnel. May handle confidential information, dictation and transcription. May verify insurance and process medical record requests.

Duties & Responsibilities

  • Sort mail and general office upkeep
  • Submit work orders & order office supplies
  • Monitor and distribute emails from the dermatology email account
  • Assist with general tasks as needed

Outreach

  • Submit required forms for events, incidental meals, honorariums
  • Assist in event planning and day of support

Faculty Support

  • Assist with provider credentialing
  • Make and maintain annual Attending call schedule and create the schedule annually
  • Make changes when providers trade
  • Inform Call Center, Mist, and residents of original and all changes
  • Update shared calendar
  • Update Vocera
  • Track holidays and weeks per year to ensure fairness
  • Assist with onboarding new providers
  • Assist with scheduling and provider calendars

Finance

  • Assist in reconciling campus p-cards
  • Assist with preparing HSF requisitions
  • Assist with preparing Oracle requisitions

Leadership Support

  • Manage Outlook Calendars

Hourly Pay Range: $15.00 - $19.25

Qualifications

High School diploma or GED and three (3) years of related experience required.
