As a Shop Administrative Clerk, you will be responsible for creating requisitions and purchase orders to ensure that all necessary materials and parts are on hand. You will create, follow, and close both internal and external work orders, downloading open work order reports to address aged work orders and ensuring vendor purchase orders are closed and invoices are matched accurately. Coding invoices for the Foreperson’s approval is also a crucial part of your tasks, along with uploading all Parts Requisitions to the Onbase system.
Throughout the day, you will manage interactions with vendors who replenish our stock of hardware, fittings, and miscellaneous shop supplies, ensuring inventory charge-outs are processed efficiently. You will conduct cycle counts semi-annually to maintain accurate inventory records and organize all shop files to keep operations running smoothly.
Your responsibilities also include managing employee timesheet entries, ensuring they are accurately recorded, and performing general clerical duties like photocopying, faxing, and mailing. You’ll spend part of your day answering, screening, and transferring inbound phone calls, addressing inquiries promptly. Additionally, you may provide coverage for the Parts Person or Shop Coordinator during their absence.
