Role Purpose

We're looking for a dynamic, resourceful, and creatively minded Executive Assistant to support our Group Directors in a fast-moving, digitally driven business environment. This role is more than just calendar management — it’s about being a strategic enabler, a trusted partner, and a behind-the-scenes powerhouse helping shape how we operate globally.

As a core member of our leadership support team, you’ll be the operational glue that keeps everything moving. Your work will span across time zones, touch multiple departments, and play a vital role in amplifying our leaders’ effectiveness.

Accountabilities & Responsibilities

  • Own and manage complex, ever-evolving calendars for Group Directors
  • Proactively solve scheduling and logistical puzzles with creativity and calm
  • Coordinate travel across multiple time zones — crafting seamless itineraries and handling logistics end-to-end
  • Partner with team members to plan internal meetings, events, and offsites that inspire and deliver impact
  • Support departmental budget tracking and manage expenses using Oracle
  • Draft, compile, and circulate internal updates, reports, and briefing documents
  • Be the key liaison for external partners and internal collaborators — professional, discreet, and always polished
  • Build strong, trusted relationships with fellow EAs and teams across global offices
  • Offer flexible support during urgent or out-of-hours travel or calendar changes
  • Occasional international travel required

  • Exceptional coordination and planning instincts
  • Clear, concise communicator — written and verbal

  • Highly responsive, with the ability to anticipate needs and think two steps ahead
  • Great teammate who builds rapport and trust quickly
  • Comfortable with digital tools and collaborative platforms
  • Calm under pressure, highly curious and always solutions-focused
  • Strong working knowledge of Microsoft Office Suite, especially Outlook, Excel, and PowerPoint
  • Experience with tools like Jira and Confluence is a plus

Qualifications & Experience

  • Experience supporting Director-level executives
  • Background in fast-paced, high-performing environments
  • Experience in managing travel logistics and expense systems
  • Strong document preparation, scheduling, and communications capabilities
  • Experience with Oracle or similar systems desirable
