A position has been declared open in the Weber School District at Fremont High School for a Career and Technical Education (CTE) Administrative Assistant. This position is for 8.00 hours per day, 183 days (9 months) per year and is compensated according to Lane 5(H) of the Administrative Assistants Salary Schedule. This position is eligible for benefits and retirement. This position starts the upcoming 2025-2026 school year (note start date).

Essential Job Functions:
- This position will work with the CTE coordinator on assigned programs and/or projects such as OTECH attendance and grading, magnet programs, and testing.
- Individual will facilitate administration of state CTE Skills competency testing and report them
- Track van maintenance and record keeping. Possible transportation/coordination of vehicles
- Work with CTE P Card reconciliation and P Card assignment. Bookkeeping and budgeting functions in IFAS, Teacher Supply Money, expenditures account analysis, vendor compliance, process invoices and receipts, all following district financial guidelines.
- CTE Data collection specialist for state audits, program analysis and to help secure state funding and local Perkins Federal Grants. Maintain CTE calendar w conferences, meetings.
- This position will work with the OTECH in promoting and communicating opportunities, hours, authorizations, and providing parents with information about programs.
- Need a knowledge of magnet programs and helping with Work Based Learning Internship promotion, experiences, activities, time sheets, & industry/business resources.
- Help to organize events such as career days/fairs, CTE Expo, and counselors to promote CTE in community, content for websites and to promote CTE programs, exploration.
- Prepare & distribute CTE Pathways brochures, posters and promotional materials on CTE
- This position will work with universities with CE programs and will maintain a variety of records, including CE registration, grading, credit data, send transcripts, & track data.
- Organize CTSO funding and travel requirements for teachers. Provide competition requisites for programs and reimburse travel. Comply with district guidelines.
- Processes purchase orders, travel per diem, check requests & active member of staff.
- Communicate with district office, other departments, and schools on any issues.
- Performs other duties as assigned by the supervisor.
- Conform to district policies including attendance, absences and evaluations.
- Attendance must be adequate to acceptably perform listed job functions.
Job Requirements and Minimum Qualifications (Requisite Skills, Knowledge, and Abilities):
- Must be able to operate standard office equipment including pertinent software applications; Google suite, spreadsheets, planning and managing projects; performing basic bookkeeping; and preparing and maintaining accurate records
- Must have knowledge of concepts of grammar and punctuation; bookkeeping principles; business telephone etiquette; common office machines; and office methods and practices, responding to emails, calendaring, meeting coordination.
- Must have the ability to communicate with diverse groups; establishing and maintaining effective relationships; maintain confidentiality; meeting deadlines and schedule; setting priorities; and working with interruptions.
- Outstanding interpersonal and soft skills including flexibility, creativity, resiliency, teamwork, time management, willingness to learn and grow, and positive attitude.
- Applicant must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
- Experience: Job related experience with increasing levels of responsibility.
- Education: High school diploma or equivalent.
