Position Profile

The Senior On-Site Service Specialist provides operational support in one or more of the following areas: high-volume duplicating, production, sorting, mailing, bindery, shipping/receiving, and mail/fax handling. This role also includes copier maintenance and customer site equipment support.

Due to the higher level of presentation and communication skills required—especially for temporary or occasional receptionist duties—this position is designated as “Senior.” The role reports to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site structure.

Key Responsibilities

  • Operate high-volume/production copy machines; perform binding and finishing work.
  • Conduct daily inspections of convenience copiers; clear jams and report issues.
  • Perform basic troubleshooting and escalate technical issues as needed.
  • Set up equipment (e.g., add toner, load paper).
  • Scan and image documents.
  • Provide temporary/occasional reception services.
  • Maintain records for reports and supply inventories.
  • Distribute office supplies, mail, and fax transmissions.
  • Calculate job charges, maintain logs, and generate reports.
  • Respond to and coordinate service calls.
  • Perform filing duties, including purging and archiving.
  • Deliver completed jobs to designated locations.
  • Maintain daily meter and service logs.
  • Travel between customer buildings as needed.
  • Answer customer inquiries regarding job status and feasibility.
  • Maintain copier areas in a clean and stocked condition.
  • Handle shipping and receiving of materials.
  • Set up meeting and conference rooms.
  • Assist with internal office moves and light maintenance tasks.
  • Operate equipment such as shrink-wrap machines, paper cutters, bindery tools, and postage meters.
  • Understand and utilize Ricoh Services Portfolio & Technology.
  • Ensure accurate data capture for Ricoh MOR, SPG, and job logs.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or GED required.
  • 1–2 years of related work experience preferred.
  • Valid driver’s license and auto insurance may be required.
  • Basic computer skills; proficiency in Microsoft Office Suite.

Knowledge, Skills, and Abilities

  • Familiarity with copier and related equipment; basic electronics knowledge preferred.
  • Understanding of shipping/receiving procedures.
  • Ability to work independently and adapt to changing tasks.
  • Strong problem-solving and troubleshooting skills.
  • Ability to follow mail delivery instructions and packing procedures.
  • Excellent customer service and verbal communication skills.
  • Ability to read and understand technical manuals and documentation.

Working Conditions & Physical Demands

  • Frequent exposure to copier/fax noise, toner, and temperature changes.
  • Potential for paper cuts and minor injuries from equipment handling.
  • Exposure to various weather conditions when traveling between buildings.
  • High-stress environment due to tight deadlines and quick turnarounds.
  • Physical activity including standing, walking, bending, lifting (up to 50 lbs), and pushing/pulling equipment (up to 400 lbs).
