Job Summary:
The Group Sales Agent delivers outstanding service and comprehensive support for all group bookings at Grand Canyon Railway & Hotel. As a Group Sales Agent, you will serve as the main point of contact for group sales clients, ensuring clear and consistent communication throughout the sales process. You will also work closely with our Corporate Group Sales Team to ensure all group reservations are accurately processed to the provided Spec Sheet and will assist with guest service issues related to in-house groups as needed.

Responsibilities
- Fully understand and support Xanterra’s Mission Statement, Cultural Pillars, Community Commitment and Core Values.
- Build and maintain strong relationships with both new and existing clients to foster repeat business and long-term partnerships.
- Answer all client requests for information as necessary via phone and email within 48 hours.
- Process and distribute arrival packets to front desks based on the established timeline and requirements.
- Conduct familiarization (FAM) tours to include sales presentations, property site inspections, and meal functions, including maintaining FAM reservations in Delphi/PMS.
- Work closely with clients to understand their specific requirements and tailor experiences to mee those needs.
- Oversee the planning and follow-up for each group event, collaborating with internal departments (F&B, Lodging, & Train Operations)
- Consistently demonstrates a positive and professional demeanor.
- Knowledgeable of property information (hours of operations, activities, etc.) and provide accurate information about GCR and Grand Canyon National Park to guests' inquiries.
- Adhere to all Xanterra GCR , PCI, Safety, and Environmental policies. Using proper phone etiquette, answering incoming calls, and attending to guest needs quickly and efficiently.
- Ability to shift priorities and duties as directed by the Manager.
- Provide/distribute contracts and confirmations to clients as applicable.
- Create, maintain, and update agreements and files for property Group accounts.
- Coordinate and handle special events at GCRH, such as weddings and family reunions, including meeting with existing clients to discuss potential events.
- Build and manage assigned room blocks within Opera and Delphi FDC systems as applicable.
- Assistant RSMs in booking groups in Delphi and maintaining the groups until arrival.
- Perform 3/21/30/60/90 day check on group arrivals at the specified date.
- Release and cancel group blocks as necessary within the prescribed time frame of receiving notice from the client.
- Communicating effectively with colleagues and Leadership to uphold a positive work culture within a remote working environment.
- Address and resolve client complaints or issues promptly to maintain satisfaction and protect company’s reputation.
- Stay current on products, services, and property offerings.
- Other duties as assigned.
Qualifications
Minimum Qualifications:
- Minimum 2 years of outbound or group sales experience, with the ability to convert and close sales opportunities.
- Minimum 3 years of previous customer service experience
- Advanced computer skills and strong knowledge of Windows-based software.
- Must have reliable access to the internet and meet ergonomic standards for a home office with a private area to work with limited distractions.
- Must be at least 19 years of age.
- Must possess a valid/clear Arizona Driver’s License and be able to comply with the Xanterra/GCR Vehicle Policy.
Preferred Qualifications:
- Previous experience working in the hospitality industry.
- Experience working with Opera Reservation System or a similar reservation system.
- Knowledge of or Grand Canyon Railway & Hotel and/or Northern Arizona is a plus.
Physical Requirements:
While performing the duties of this job, the employee is:
- Constantly listening, hearing, seeing, standing, walking, using eye/hand coordination, handling, and wrist motion.
- Frequently walk and lift or carry up to 10 lbs.
- Occasionally sit, handle, reach outward, reach above shoulder, squat or kneel, lift/carry and push or pull up to 50lbs.
- Will be required to stand for long periods of time and to occasionally walk up flights of stairs.
