Administration Assistant

Business: Admin. Dept.

Reports to: Secretary to APEC Operations Director

Location: Caojing

Job Purpose:

Coordinate the office administration in Huntsman Polyurethanes Shanghai(HPS) office to ensure high standard administration service to the daily operation, visitors, events or special programs in timely and fully compliance manner.

Dimensions:

Administration support to all staff in HPS and visitors.

Secretarial support to site senior leaders.

Principal Accountabilities:

1) Implement the EHS program in HPS office and administration activities, and monitor the EHS performance in office housekeeping, transportation safety.

2) Oversee the office supply inventory level and ensure on time delivery of office stationery, printing paper, other in cafeteria to meeting daily operation.

3) Monitor the quality of office appliance, furniture and office layout and spare space to ensure office operation up to the standard.

4) Coordinate the Catering/greening/Laundry work supplier to ensure the relative services are operating smoothly and associates’ satisfaction is maximized.

5) Communicate with third parties who provide admin service to the company to maintenance good relation and ensure the effective service obtained when service is required, such as office maintenance, plants & flowers, furniture, visa agent, etc.

6) Conduct administration orientation for newcomers and leavers to ensure on time and full compliance with the company procedure and policy.

7) Payment request (PR) creation for admin cost and expenses, etc.

8) Monthly cake day /SCIP entry pass application.

9) Assist site leaders in organizing the team activities and townhall etc.

10) Others: provide with secretarial support to site senior leaders and assisting other departments to carry out administrative work as needed if any events.

Knowledge / Experience / Skills Needed:

  • College degree and above
  • 2 years working experience in related function in a multinational company
  • Good English in speaking and writing
  • Good MS offices software skill
  • Initiative and self- motivated.
  • High team spirit and strong service awareness.
  • Excellent communication and interpersonal skills
  • Effectiveness in organizing and planning
