HR Coordinator/Admin Assistant

Contract Duration: 3 months with potential for extension

Onsite

Hourly rate: $18.00-19.00/hr

Must have:

Bachelor's degree (preferably HR related)

at least 3 months in a professional office setting

Position Summary

The HR Coordinator provides essential administrative support to the HR team by managing in-office operational tasks and ensuring the accurate handling and processing of employee documents. This role plays a critical part in maintaining personnel records, managing leave documentation, and ensuring timely routing of HR inquiries to the appropriate team members.

Key Responsibilities

Manage the intake and distribution of incoming and outgoing HR mail, including printing, sorting, faxing, and mailing documents.

Open and distribute all incoming HR mail and faxes to the relevant departments.

Track and log the receipt of leave of absence (LOA) documentation received via the shared HR email, ensuring accurate case updates in ServiceNow.

Upload LOA forms and personnel documents into the document management system in a timely and organized manner.

Maintain up-to-date personnel files for office-based and exempt/management employees, ensuring compliance with company policies.

Validate authorization for all personnel file access requests.

Prepare personnel files for scanning by external vendors; audit scanned files for accuracy and completeness and follow up on any missing items.

Send employment verification forms to external vendors for processing.

Distribute benefit enrollment materials and associate discount cards upon request.

Support ad-hoc and special projects as needed by the HR team.
