About the Role

We are currently looking for a proactive and detail-oriented Administrative Assistant to join our Supply Chain team in Łódź. This is a unique opportunity to support the startup and operational launch of a newly established manufacturing site, ensuring that all administrative and organizational processes are in place as the factory begins production.

As an Administrative Assistant, you will be responsible for coordinating office operations, maintaining documentation, handling correspondence, and acting as a key contact point for internal and external stakeholders.

Key Responsibilities

  • Coordinate daily office operations (supplies, equipment, maintenance)
  • Provide administrative support to managers and teams (scheduling, meeting notes, travel arrangements)
  • Manage incoming and outgoing correspondence (emails, mail, courier) and maintain an organized filing system
  • Support HR and finance functions through documentation and timely reporting
  • Serve as the first point of contact for visitors, suppliers, and internal staff
  • Assist in document archiving, including contracts, invoices, and policies

Who We’re Looking For

  • Skills: Hands-on approach, excellent organization, multitasking, time management, and communication skills
  • Languages: Fluent in Polish and English (B2/C1 level required)
  • Technical Skills: Proficiency in MS Office (Excel, Word, Outlook); familiarity with office equipment and document management
  • Experience: Minimum 5 years in an administrative or office assistant role, ideally in an international environment
  • Education: University degree in Administration preferred
