Operational Facilities Manager

Required Qualifications (as evidenced by an attached resume):

A Master’s degree (foreign equivalent or higher) from a college or university program accredited by an agency recognized by the Council for Higher Education Accreditation (CHEA) and four (4) years of full-time experience as a facilities manager or a similar role in an academic medical center or research setting. In lieu of a Master's degree, a Bachelor’s degree (foreign equivalent or higher) from a college or university program accredited by an agency recognized by the Council for Higher Education Accreditation (CHEA) and six (6) years of full-time experience as a facilities manager or a similar role in an academic medical center or research setting may be considered. Certified or licensed in building trades, building safety systems, building operations, and/or facilities management. Prior experience working at a university or health care facility. Must have, keep, and maintain the appropriate valid NYS Driver’s License; have a motor vehicle record which is free from major violations or a pattern of repeat violations (***Out-of-State Applicants, see "Special Notes”).

Preferred Qualifications:

Master’s degree (foreign equivalent or higher) from a college or university program accredited by an agency recognized by the Council for Higher Education Accreditation (CHEA) in environmental and/or laboratory sciences, or related field. Experience managing HVAC operations. Experience conducting inspections, as well as developing and implementing policies and procedures to safeguard equipment. Supervisory experience. Familiarity with campus and state policies and procedures related to environmental health and safety and facilities/building management. Experience working with Stony Brook University’s policies and procedures.

Brief Description of Duties:

The Operational Facilities Manager reports directly to the Associate Dean, Finance and Administration of the School of Dental Medicine (SDM). The primary goal of the Operational Facilities Manager is to ensure that SDM facilities are safe, well-maintained, functional, and accessible to the school’s multiple users. The incumbent will be the SDM primary liaison with areas such as Environmental Health and Safety, Campus Operations and Maintenance, Campus Planning, Design and Construction, the University Police Department, Parking and Transportation, and Fleet Maintenance. The Operational Facilities Manager works with the SDM tenants to ensure that activities and procedures related to building safety, routine operations, relocations, repairs, and construction are managed effectively. The incumbent will work in an autonomous environment and must be self-directed, innovative, and resourceful.

The Operational Facilities Manager will have the ability to communicate and work effectively in a highly diverse environment with all levels of management, faculty, staff, and student populations is essential. Demonstrated ability to analyze and solve problems and to work independently and without direct supervision. Must have mechanical ability and aptitude, including for general building operations/management and be capable of physical labor such as moving mid-sized equipment and furniture.

Duties:

  • Facilities Operation:
    • Responsible for administration, repair, maintenance, preventive maintenance and upkeep of the buildings and ground of the SDM buildings and serves as the primary facilities-related point of contact responding to complaints and performing initial investigation of building issues (heating/cooling comfort, lighting, unusual odors, gas/water leaks, etc.). Presently, these buildings include Rockland, Sullivan, and Westchester Halls.
    • Develop initial plans for major facility rehabs, such as outfitting new lab spaces, discussing with Campus Planning, Design and Construction personnel, submitting the appropriate paperwork to initiate the job, and monitoring the course of the job through to its completion. Actively participate in some aspects of the deconstruction, construction, or equipment installation aspects of rehabs. Interacts with senior administrative personnel of SDM in evaluating and allocating services, lab, office, and other spaces at the school to help achieve their most effective and efficient utilization and would also be expected to be engaged in long-term planning regarding building renovation/expansion and/or new construction.
    • Responsible for building and laboratory security and safety and will serve as the primary contact for off-hour emergencies relating to the buildings and grounds. The incumbent will maintain safety standards and ensure compliance with regulatory agencies and university policies and procedures, and will communicate information with building occupants, conduct routine safety checks, and provide assistance in emergency situations during routine and non-routine working hours. The incumbent will participate in regulatory compliance inspections, assist with scheduling of fire drills and safety inspections, and will notify building occupants about actual or anticipated service interruptions. The Manager will ensure responsible use and disposal of radioactive materials, hazardous materials, and universal waste.
    • Coordinate with campus operations and maintenance in the snow removal on SDM ground including parking lots, sidewalks, and entryways to ensure safe access to and from school buildings.
  • Equipment Management:
    • Maintain equipment inventory acquisition and disposition records and will prepare annual inventory reconciliation reports. Submit and track new proposals for expansion and space utilization. Consult and advise senior SDM administrator and faculty on major equipment requirements. Oversee the purchase, delivery, and set-up of office, instructional and when appropriate, scientific equipment and furnishings. Provide advice, instruction, and assistance to SDM personnel in the maintenance and repair of instrumentation and equipment.
    • Maintains inventory of compressed gas canisters (e.g. oxygen and nitrous oxide, etc.) and serviceability of equipment.
  • Vehicle Management:
    • The Manager is responsible for overseeing the use, maintenance, and repair of the SDM mobile dental van and is responsible for scheduling any needed repairs or maintenance servicing with the University Automotive Repair Facility. Responsible for preventative maintenance of the mobile dental van.
  • Facilities Program Coordination:
    • Responsible for general meetings and workshop assistance for events held at SDM. This includes room preparation, setup of SDM or rental furniture, seating arrangements, external signage, and other aspects of meetings and workshops. The incumbent will regularly participate in planning and execution of School events, such as new student BBQ, Alumni Weekend, etc. ensuring that food and alcohol permits are secured, and assisting with the event.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:

This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.

Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.

Evening and weekend work will be required at times.
