The Senior HR Executive plays a pivotal role in supporting the Senior HR Manager in managing key human resource functions, ensuring smooth operations across onboarding, offboarding, payroll administration, leave management, HRIS support, and work pass applications. This position serves as a primary point of contact for employee HR inquiries while maintaining the integrity and efficiency of HR processes and systems.

Key responsibilities covering both Singapore and Malaysia:

KEY RESPONSIBILITIES:

1. Onboarding & Offboarding Process:

  • Manage end-to-end onboarding, ensuring a seamless and engaging experience for new hires.
  • Conduct HR orientation sessions and coordinate necessary documentation.
  • Manage exit processes, ensuring compliance with company policies and labour regulations.

2. Leave management

  • Administer leave management systems for Singapore and Malaysia.
  • Ensure proper tracking and compliance with leave policies.

3. HRIS support

  • Maintain and update employee data in the Human Resources Information System (HRIS).
  • Troubleshoot system issues.

4. Payroll administration

  • Prepare employee movements and salaries related data for payroll vendors, and verify payroll transactions to ensure timely and accurate salary disbursement.
  • Address payroll discrepancies and liaise with relevant stakeholders for resolution.

5. HR-Related Letters & Documentation

  • Prepare and issue HR-related letters, including employment contract, confirmation, termination, and other employment-related documents.
  • Ensure accuracy and compliance with labour laws and internal policies.

6. Work Pass Applications & Renewals

  • Handle applications and renewals of work passes, ensuring compliance with regulatory requirements.
  • Act as a liaison with relevant government agencies for visa and work authorization processes.

7. Ask HR Queries & Portal Maintenance

  • Respond to and resolve HR-related inquiries through the Ask HR portal.
  • Regularly update and maintain the portal to ensure accessible and accurate information for employees.

8. Ad Hoc HR Projects & Initiatives

  • Support various HR initiatives, including process improvements, policy updates, and compliance projects.
  • Collaborate with internal teams to drive employee engagement and organizational development strategies.

Professional Experience/Qualifications:

The ideal candidate should possess the following key requirements:

  • Minimum 2 – 3 years’ HR operations experience with an international organization, experience working in professional services setting is preferred.
  • Diploma in Human Resources, Business Administration, or a related field.
  • Strong understanding of employment laws and regulatory requirements in Singapore and Malaysia.
  • Strong ethical standard. Handle sensitive information with confidentiality and professionalism.
  • A good team player who is able to work independently.
  • Excellent interpersonal and communication skills to effectively liaise with employees and stakeholders.
  • Detail-oriented, organized, and able to multitask in a dynamic work environment.
  • Proficiency in MS Office applications and well-versed in MS Word & Excel.

Please note that this will be a 12 months contract position.
