Administrative Program Coordinator

TNPRC Veterinary Medicine

Location: Covington, LA

Summary

The Administrative Program Coordinator is the primary resource for tracking and maintaining timekeeping software data entry, adjustments and compilation of leave and attendance documentation for all 100+ non-exempt and exempt staff in the Division of Veterinary Medicine (DoVM). This position communicates with DoVM faculty and staff to ensure the Division Time and Attendance program remains in compliance in accordance with TU HR guidelines and requirements. Manages, organizes and communicates Division Time and Attendance Program to over 100 personnel. This position provides advanced-level administrative and program support for Division supervisory staff and teams and assists in creating special timekeeping and project reports for senior level staff based on Kronos data, internal server documents (Dellserver) and Division Time and Attendance program excel charting.

May be designated as essential personnel during a storm/natural disaster. If required to work during a closure, employee must provide accurate and current contact information and is responsible for maintaining communication with TNPRC. Failure to report to work when requested by supervisor or manager will result in disciplinary action as outlined by the Staff Handbook.

Employee attendance must meet established work schedules. Faithfulness in coming to work, being on time, planning absences in advance when possible, and calling in when unavoidably detained from reporting for work is an essential requirement of the job.

Required Knowledge, Skills, and Abilities

  • Excellent oral and written communication skills.
  • Excellent organizational skills, including the ability to manage multiple demands and multiple projects under tight deadlines.
  • Demonstrated ability to pay attention to detail and keep projects on schedule.
  • Proficiency in using various computer programs such as Adobe PDF, Microsoft Word and Excel
  • Familiarity with standard electronic office machines (phones, fax, copiers, etc.)
  • Ability to work independently and exercise good judgment while maintaining confidentiality, integrity, and discretion in the performance of all duties.
  • The TNPRC maintains biosafety level 3 facilities and performs work on diverse infectious agents many of which can cause serious disease in humans if standard operating procedures, including use of appropriate personal protective equipment, are not followed. Depending on agent specific risk assessments individuals may be offered, or in some cases required to have vaccinations against the relevant agents.

o If this position is assigned to work in ABSL3 containment areas, there will be additional minimum requirements including some or all of the following:

 Must pass a US Department of Justice Security Risk Assessment for access to select biological agents and toxins.

 Ability to perform job duties while wearing respiratory protection.

 Must participate in drug and alcohol program and be in compliance with TNPRC drug and alcohol policy

Required Education and/or Experience

  • High School Diploma or equivalent
  • Two years of office administrative experience

Preferred Qualifications

  • Previous experience with employee time management and time management systems
  • Business courses/business certification/some college
  • Proficiency/experience with Tulane systems and programs
  • Administrative experience in an academic environment

This position is classified as "non-exempt, hourly" and is assigned to pay grade 23.
