Primary Purpose of the Organizational Unit
In accordance with the mission of the University, the School of Health and Human Sciences is organized into eight academic departments and two programs: Communications Sciences and Disorders, Kinesiology, Public Health Education, Community & Therapeutic Recreation, Human Development & Family Studies, Nutrition, Peace and Conflict Studies, Social Work, Genetic Counseling Program and Gerontology Program. Each department offers courses for all University students and programs of study leading to undergraduate majors and minors in their respective areas. Master’s degrees are offered in all departments and doctoral (Ph.D. and Ed.D.) degrees are also offered in Kinesiology, Public Health Education and Communication Sciences and Disorders. The faculty seek excellence and national recognition for the undergraduate and graduate programs through their teaching, scholarship and service. Position Summary
The position of University Program Associate is a full time, twelve-month administrative appointment reporting to Director of Development for HHS with a dotted line to the Dean of the School of Health and Human Sciences. The University Program Associate is responsible for the following: coordinating the School’s donor relations and stewardship process (25%), leading the alumni relations effort (25%), planning and executing School-wide advancement-related events (20%), managing alumni- and donor-related communications efforts (20%), and assisting with the daily operations of development support (10%).
Minimum Qualifications
Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

- Experience working in an academic environment.
- Experience in the Banner database or other donor and finance systems.
- Knowledge of University practices and policies, forms processing, budgeting and accounting practices.
- Ability to multi-task, meet deadlines and communicate well with others in a team environment and to interpret and apply a wide range of policies and procedures and share this information as needed.
- Ability to problem-solve and respond to changing circumstances with a positive demeanor.
- Must be able to establish and maintain professional and effective working relationships with an extensive group of university staff and administrators.
- Must be available to work on weekends and during non-traditional hours.

Coordinate donor relations and stewardship process
Essential Tasks
Management of early cultivation with HHS prospective donors and stewardship of existing donors through direct contact, donor recognition, communications, and strategic initiation. Must possess knowledge of the unique needs of donors and constituents and be able to provide prompt responses specific to their requirements. Ability to act in the best interests of the organization while providing exceptional customer service. Must maintain knowledge of and adhere to policies and procedures while aligning service delivery with strategic goals and client’s needs. Identify opportunities to improve process efficiency as well as communications/reporting related to donor fund expenditures and scholarships; make recommendations and adjust processes accordingly.
- Coordinate efforts of Dean and HHS Director of Development.
- Support the cultivation of new gifts from alumni via annual giving and small gift solicitation, including stewardship solicitations to donors. Track relevant metrics.
- Resource for questions from HHS regarding new and existing scholarships or program funds and the donors of these funds.
- Research and handle questions from University Advancement regarding gift/payment postings. Interact with donor(s) when necessary and keep supervisor informed.
- Provide timely and accurate information to donors and potential donors, including customized information for top donors regarding their funds.
- Document contacts and milestones appropriately, including obituaries, gift acknowledgement, birthday cards, etc. Maintain ongoing communications with past and current major donors to enhance their relationship with the School and increase the likelihood of continued contributions.

Oversee alumni relations efforts
Essential Tasks
Engage HHS alumni and build relationships to foster a stronger connection with the school. Work in conjunction with central Alumni Engagement and Annual Giving. Must have ability to enhance collaboration among individuals and groups, including alumni/donors, HHS leadership, and units within UNCG Advancement. Ability to determine program effectiveness and efficiency, identify trends and opportunities, and adjust program priorities accordingly, based on changing work environment and deadlines. Manage data and financial reporting, including preparing reports and presenting data to constituents. Ability to build consensus when dealing with opposing points of view, and resolve competing or complex issues.
- Serve as primary liaison for HHS Alumni Leadership Council; ensure a meaningful experience and strong productive relationships between its members and HHS/UNCG. Facilitate, handle arrangements for, and attend alumni council meetings and most events. Provide support and direction as needed, to the council and executive committee, including strategic development of agendas and provision of updates related to HHS or campus matters. Advise the alumni council to operate within University and School policies and procedures.
- Work with UNCG Alumni Relations to manage alumni contact information. Grow and improve the accuracy of the HHS alumni contact list.
- Point of contact for annual giving for HHS, in coordination with university efforts and Dean’s priorities.
- Serve as HHS representative on the annual “Believe in the G” Day of Giving, including coordinating updates on HHS social media, emails to departments & Alumni Leadership Council, and other publicity.
- Annual giving-related responsibilities as assigned.
Key Responsibility
Plan and manage School-wide alumni and development events
Essential Tasks
Maintain high quality service and hospitality standards in events. Maintain awareness of industry trends and constituent/market needs; recommend improvements. Skilled event manager with broad knowledge of event roles/functions and the capability to coordinate/train, assign, and supervise an event team in a complex event environment.
- Responsible for all HHS donor and alumni events such as (but not limited to) HHS Alumni Awards, alumni engagement events (e.g., HHS night at the Grasshoppers, UNCG Spartan Spot), and student scholarship recognition events. Coordinate with UNCG Events team and other appropriate offices. Take ownership of each event and manage all details, including timelines, guest lists, volunteer/staff management, room reservations, catering, parking, signage, external vendor management, and troubleshooting.
- Initiate and execute new events (e.g., regional alumni events, student-alumni events), in conjunction with HHS leadership.
- Support HHS events which are not explicitly alumni or development related, such as Lawther Lecture series, as needed.
- Serve as HHS contact for UNCG wide alumni events and coordinate with any HHS personnel involved. Oversee the HHS alumni/friends invitation list and monitor RSVP responses. Make calls to alumni/friends as necessary.
- Work collaboratively with HHS leadership and communications team and University Alumni Engagement on event-related communications: Compose letters, compile appropriate invitation lists, engage featured program participants, create programs and prompt sheets, provide program materials, prepare program scripts and participant remarks (as needed) and create and/or obtain donor awards and recognitions.

Essential Tasks
Work across units (HHS, central advancement, UNCG annual giving) to advise, consult, and ensure accuracy of the communication and understanding of the message. Ability to place messages in context with the organization’s strategic priorities and broader business perspective. Ensure expectations for timely communications and communicating program outcomes are met. Ability to analyze data and integrate feedback to make recommendations and/or decisions.
- Develop HHS alumni communication plan, in conjunction with communications team and leadership, including the creation and dissemination of regular alumni e-newsletters; alumni, donor, and student content (e.g., coverage of alumni/donor events; event promotion assets; social media, etc.), and provide input on website needs (including scholarship info, Alumni Leadership Council info, etc.).
- Consult with communications team and HHS leadership to supply HHS information to UNCG advancement for various campaign needs.
- Stay informed of communications being sent by Alumni Relations, Donor Relations, and HHS.

Manage, maintain, evaluate, and improve processes for record keeping, data management, information gathering, and reporting. Ability to develop and recommend new approaches to improve records and information management, data presentation methods, and handling complex requests. Maintain awareness of current and emerging technologies which could improve the efficiency and effectiveness of data management with other business systems. Ability to develop program tools applicable to assigned program area(s).
- Manage day-to-day functions of office. Create or improve any processes for more efficient and effective use of time.
- Monitor budget. Track expenses as needed, while coordinating with other designated administrative staff who handle financial reimbursements.
- Respond to inquiries from administration, faculty, staff, students, alumni, and donors. This includes providing general information, researching policies, pulling data about scholarships and/or program funds, and more generally, answering calls, sending/receiving emails, and greeting visitors to the office and at events.
- Maintain inventory of office supplies, donor gifts and promotional items.
