Staff Assistant

Required Qualifications (as evidenced by an attached resume):

Bachelor’s degree (foreign equivalent or higher). Two (2) years full-time administrative experience. Experience with Microsoft Office and Google applications. Experience with data management or statistical data interpretation.

Preferred Qualifications:

Master’s degree (foreign equivalent of higher). Additional years (3+) of full-time administrative experience. Experience in a higher education or academic environment. Experience with one or more of the following: student recruitment, orientation/graduation, admissions, scheduling, and/or student records. Experience with clinical education software and/or other university platforms such as Exxat for clinical education software. SPSS, SAS, GraphPad, Stata, or Excel for statistical software.

Brief Description of Duties:

The Staff Assistant reports to the Chair of the Department of Physician Assistant Education and supports the Department of Physician Assistant Education along with other responsibilities to the School of Health Professions. The main responsibility of this position is to support the clinical education aspects of the Department of Physician Assistant Education, which will include utilizing clinical education software and other university platforms. In addition, this position will serve as the data coordinator for the Department of Physician Assistant Education. The incumbent will work alongside the Assistant to the Chair of the Department of Physician Assistant Education with administrative day-to-day operations and management of the facilities in the Department of Physician Assistant Education at the Southampton campus. This includes assistance and management with student recruitment, orientation, admissions, scheduling, student records, graduation and other student services. The incumbent needs to have attention to detail, flexibility to deal with shifting priorities, and the ability to work collaboratively as part of a team or independently. The Staff Assistant will work with those from the Department of Physician Assistant Education including the Chair, Vice Chair, Director of Clinical Education, Office of the Dean, faculty, and students. They must preserve confidentiality of student information and have excellent interpersonal, organizational, and communication skills. They will plan, schedule, and assign work to student workers in the Department as needed. This position will be located on the Southampton Campus.

Clinical Education Administration

  • Provide administrative support for the clinical education program with the clinical education faculty from the Department
  • Using clinical education software, assist the clinical education faculty with student communication, clinical placement, student records and follow-up correspondence with the clinical sites
  • Assist with maintaining, updating, and summarizing databases related to clinical education for external accreditation, university, and other needed reports for the Department
  • Update and manage the Clinical Education site of the Department website

Data Coordination

  • Download and analyze various exam data
  • Download and analyze data from rotation surveys
  • Download, collate and organize preceptor evaluation forms, patient log data and mid-rotation data
  • Organize and coordinate annual grade tracker
  • Download survey data and provide reports to faculty (e.g. Clinical Year exit surveys, Graduate surveys, Preceptor surveys, Faculty surveys)
  • Summarize data from the various sources to be used for external program accreditation, university, and other needed reports including annual reports

General Administration

  • Serve as primary contact for the Department of Physician Assistant Education for the Southampton Campus
  • Respond to and manage facility queries related to the Department of Physician Assistant Education Department at the Southampton Campus
  • Attend Department meetings, record and distribute meeting minutes and maintain an up-to-date record of meeting minutes, as needed for the Southampton Campus
  • Assist in orientation process for new students, faculty and staff in the Department at the Southampton Campus
  • Manages Department events on the Southampton campus
  • Represent the Department at various meetings and events as appropriate

Other Duties:

  • Other duties or projects as assigned as appropriate to rank and departmental mission.

Special Notes:

This is a full-time appointment. FLSA Non Exempt position, eligible for the overtime provisions of the FLSA.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
