Overview
The Clinician Administrative Coordinator oversees the seamless experience of new clinicians and supports the execution of national continued medical education programs. This dual-focus role is ideal for someone who thrives in a fast-paced, cross-functional environment and is passionate about improving clinician engagement and continuing education.
Responsibilities
Clinician Onboarding Coordination
- Serve as the central point of contact for the Professional Development team.
- Coordinate and manage clinician onboarding workflows across various pre-designed training programs.
- Schedule and manage Outlook calendar invitations for all onboarding meetings between new clinicians and internal stakeholders across each step of the Professional Development programs.
- Maintain onboarding trackers and checklists to ensure all steps are completed accurately and on time.
- Partner with internal stakeholders (HR, Operations, and Physician Leadership) to maintain up-to-date program content and scheduling logistics.
- Assist in gathering feedback from new clinicians to identify opportunities for process improvement.
Print, Webinar & KOL Program Coordination
- Act as the liaison between our organization and an external partner producing national webinars for the dermatological community.
- Collaborate on the planning and scheduling of a strategic calendar to include webinar, print and video materials.
- Assist in the identification, outreach, and coordination of Key Opinion Leaders (KOLs) for upcoming webinars and print materials.
- Coordinate scheduling logistics and send Outlook calendar invitations for internal planning meetings, rehearsals, and live webinar events.
- Track key dates and deliverables: topic finalization, content creation, review, marketing preparation, and final handoff to the external partner.
- Ensure timely submission of all materials to the marketing team for formatting and branding.
- Coordinate cross-departmentally to ensure deadlines are met and webinar materials are delivered in a polished, professional manner.
- Maintain organized records of topics, KOL contacts, timelines, and content.
- Other administrative duties as assigned.
Qualifications
Education
- High School Diploma required
Knowledge, Skills and Abilities
- 5+ years experience in project coordination, program management, or administrative assistance, ideally in a healthcare setting.
- Strong organizational and time-management skills with keen attention to detail.
- Excellent interpersonal and written communication skills.
- Comfortable working cross-functionally and managing multiple stakeholders.
- Proficient in Microsoft Office Suite, project management tools, and/or Outlook.
- Ability to adapt quickly and problem-solve in a dynamic environment.
- Proven ability to manage multiple concurrent tasks, timelines, and priorities with strong attention to detail.
- Highly organized with excellent tracking and follow-through skills.
- Comfortable providing clear updates and status reports during weekly team calls and meetings.
Physical Demands
- Ability to communicate in a fast-paced environment.
- Ability to efficiently operate all job related office equipment (telephone, computer, calculator, fax, copier).
- Ability to sit or stand for large portions of a workday.
