Job Description

The Syracuse University Marketing Division is seeking a highly organized, proactive, and systems and process minded Multimedia Operations Manager to join our creative teams.

This role would help lead resource planning, work balancing and assignments, workflow optimizations, digital asset management (DAM) administration, equipment management, and vendor relationships. This role partners across the Division to ensure that resources are properly mapped to assignments. With the strategic ability to project and plan for resource needs, this individual plays a key role in coordinating with the Director of Multimedia and the Multimedia Coordinator to ensure that the right photography resource is mapped to the right project at the right time to deliver the right results.

Education and Experience

  • Bachelor’s degree, preferred majors: Visual Arts/Photography, Library Science, Archive Management or Information Systems, or directly applicable work experience.
  • 3-5 years of marketing and brand stewardship, digital asset management, design, project management or related business experience, 3-5 years in photography ideal.
  • 2-4 years leading or managing complex teams.
  • Design skills within Adobe Creative Suite a plus.
  • Digital Asset Management Certification is preferred but not required.

Skills and Knowledge

  • Thoughtful, experienced and balanced leader with digital, photography and technical expertise in leading dynamic creative teams.
  • Organized and strategic in terms of workload projection, and work balancing.
  • Analytical in determining photography assignments.
  • Experience in Adobe Photoshop, InDesign, Illustrator, Bridge, and Lightroom, MSOffice, and web browser applications.
  • Manages high volume of team assignments with nimbleness and agility.
  • Exceptional interpersonal and problem-solving skills.
  • Ability to adapt quickly to changing technology, systems and processes.
  • Mac / PC savvy including proficiency with major applications and all current and emerging multimedia file types.
  • Rights management experience, understanding model usage cataloguing, restrictions, timing, and distribution is a plus.
  • Working knowledge of metadata management or database usability, communications mediums including video, print, digital, social and the related production processes and workflows.
  • Strong knowledge of DAM systems, metadata taxonomy, databases, copyright and rights management issues, strategy principles and concepts for assets and digital content.
  • Demonstrated ability to work in a team environment.
  • Excellent organizational skills and attention to detail.
  • Knowledge of creative file types.
  • Project management skills.

Responsibilities

Team & Workflow Management

  • Support the planning, coordination and assignment of photography and at times video shoots, managing timelines, logistics, & budgets alongside the production teams.
  • Partners w/ other leaders to ensure workload planning, assignment distribution and workflow is efficient, and the team is optimized.
  • Effective and collaborative communicator w/ability to collaborate with diverse teams and stakeholders, translating strategic needs w/ logistical planning to help photographers capture dynamic content.
  • An excellent communicator, partnering across divisional teams on best practice of asset capture, tagging and lifecycle.
  • Continuously evaluates workload/workflow to resource plan & project.
  • Identifies opportunities for streamlining systems, processes and approaches.
  • Works collaboratively w/multimedia leaders & photographers to identify/implement process and workflow improvements, ensuring teams can respond quickly to requests while maintaining high-quality output.
  • Empowers team members to appropriately art direct and manage shoots often in collaboration w/ art directors and producers.
  • Deeply understands brand strategy to effectively provide input or feedback on consistent and compelling brand expression.
  • Ensures photographers have the information they need to successfully capture content.

Asset Management

  • Establish DAM best practices across marketing departments within the Marketing Division.
  • The role will help to implement best practices for DAM in a fast-paced university environment.
  • Partner with Strategy and Multimedia team to annually maintain and update our photography packages shared with schools/colleges/units.
  • Works closely with photographers to package and deliver photography to marketing team leads or partners across campus.
  • Act as system librarian lead and help continue building best practices for the creation and management of metadata.
  • Improve search functionality, perform scheduled audits, archive expired assets and general cleanup of system and gather metrics and user feedback to continue to improve the system, processes and training.
  • Develop workflows for asset ingestion, categorization, permissions management, version control, delivery, and expiration to internal and external users.
  • Ensure user ease and solid user experience functionality.
  • Packages and distributes images to partners and helps maintain our photography packages annually.
  • Collaborates with the digital team to ensure that photography is readily and regularly available for sharing on flagship digital channels.

Other Responsibilities

  • Partners with Director of Marketing Technology to put in place and leverage modern technology solutions.
  • Utilize Workfront’s project tracking tools to streamline workflows, track progress, and flag potential roadblocks.
  • Responsible for ensuring systems allow for appropriate digitizing, archiving and logging of multimedia content so it is searchable and well maintained.
  • Tracks impact/engagement measures to guide creative decision making.
  • Lead the implementation of an equipment cataloging and inventory process to include check-in/out, replacement and upkeep.
  • Shapes best-in-class creative culture, mentoring talent and facilitation of career growth.
