Department Information

The Department of History and Philosophy of Science at Indiana University (IU) is one of the oldest of its kind in the world, founded in 1960. The medical tradition, and its integration within the history and philosophy of science, is a vital and continuing part of the mission for the Department of History and Philosophy of Science. The department offers a number of advanced degrees, including several Ph.D. and M.A. options, giving students various ways to develop their expertise in the field. The faculty is very active and engaged, serving the academic needs of a vibrant group of graduate and undergraduate students. Courses in the department attract a wide variety of students in many fields.

Job Summary

Department-Specific Responsibilities

  • Coordinates more complex administrative activities of an office.
  • Manages announcement board.
  • Assists faculty with copy requests.
  • Scans documents, confirms colloquium guests, reservations, travel arrangements, reservations, and RSVPs.
  • Arranges transportation for guest speakers, schedules hospitality including ordering food and event planning for various colloquium and graduate student events.
  • Manages department email and calendar to include semester classes.
  • Emails announcements and calls for papers.
  • Orders supplies and submits IT requests.
  • Assists with out of pocked reimbursements.
  • Assists with supplier registration through BuyIU. Markets courses with other departments (DGS and DUS's) to advertise courses; makes and circulates flyers.
  • Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.
  • Organizes office operations and procedures, such as creation of Word and Excel files, bookkeeping, and preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other office services.
  • Oversees opening, sorting, and routing of incoming mail, answers correspondence and prepares outgoing mail.
  • Monitors the use of office supplies and equipment; reorders items as required.
  • Ensures that office procedures and policies are being maintained and communicated.
  • Compiles, copies, sorts, and files records of office activities.
  • May perform other duties related to maintaining an internal website and/or working with social media.
  • May include performing administrative duties but not limited mail management, inventory of office supplies, organization of office procedures.

Qualifications

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

Preferred

  • Bachelor's degree

WORK EXPERIENCE

Required

  • 2 years of relevant experience

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

This is a 10-month appointment through the Fall and Spring semesters, with Summer off.

Advertised Salary

$17 - $18 per hour
