Job Description

The Assistant Director for Materials Operations is responsible for optimizing warehouse inventory management operations, with a focus on overseeing the Kanban PAR Management system. This role ensures seamless integration between inventory management workflows and the organization’s Enterprise Resource Planning (ERP) system to enhance accuracy, efficiency, and supply chain visibility. The position also involves executing projects aimed at improving the materials management processes, implementing best practices, and driving continuous improvement initiatives. Additionally, the role includes collaborating with cross-functional teams to align inventory management operations with organizational objectives, optimize costs, support supply chain planning, streamline logistics, and enhance product lifecycle management to achieve measurable outcomes.

NYC Health + Hospitals’ Supply Chain Services is an enterprise-wide centralized department which solicits proposals, and negotiates/enters into contracts for goods, services, software, pharmaceuticals, consultants, staffing, and construction for NYC Health + Hospitals with an annual spend of approximately $1.5 billion. Supply Chain services also works closely with facility-based materials management, inventory management, distribution and logistics.

SUMMARY OF DUTIES AND RESPONSIBILITIES:

Operations

  • Oversee the daily operations of the inventory management system, ensuring accurate stock levels, timely replenishment, and seamless warehouse workflows.
  • Collaborate with stakeholders across departments to resolve operational challenges, maintain alignment with organizational goals, and ensure effective integration of system workflows with inventory management operations.
  • Leverage ERP system capabilities to monitor operational workflows, identify inefficiencies, and support data driven decision making to improve the inventory management process.
  • Enforce existing standard operating procedures (SOPs) to maintain consistency, compliance, and operational excellence across all inventory management activities.
  • Conduct regular reviews of inventory and warehouse processes to ensure compliance with established procedures, identify areas for improvement, and address operational gaps.
  • Facilitate training and provide guidance on system workflows, inventory management practices, and operational procedures to promote adherence to standards.
  • Establish, track, and report on key performance indicators (KPIs) for inventory management operations, warehouse efficiency, and supply chain effectiveness.
  • Utilize data and analytics to identify trends, improve decision-making, and recommend actionable solutions to enhance operational performance.
  • Partner with EITS, clinical and support teams to ensure system enhancements align with operational needs and patient care requirements.
  • Establish and maintain collaborative relationships within the system in order to obtain information and content from providers and colleagues to foster successful project completion.
  • Promote a culture of continuous improvement by sharing best practices and supporting process optimization initiatives across teams.
  • Participates in departmental and team meetings, quality assurance/performance improvement (QA/PI) activities and programs, and corporate-wide training as required.

Strategic Planning

  • Develop and execute long-term strategies to improve supply chain resilience and ensure continuous process improvements.
  • Identify and implement best practices for inventory management and warehouse optimization while leveraging data-driven insights.
  • Support system upgrades and technology enhancements, ensuring seamless integration with future organizational growth.
  • Partner with leadership to plan and manage projects that align with broader organizational objectives and operational goals.
  • Ability to coordinate or manage multiple projects across the Health System by leading pilot programs and special initiatives to test and implement innovative supply chain solutions.
  • Evaluate and recommend improvements to the inventory management process to align with organizational goals for growth and efficiency.

Financial Performance

  • Drive financial performance by analyzing inventory management operations, identifying cost-savings opportunities, and implementing process improvements to increase efficiency.
  • Implement initiatives to reduce waste and improving resource utilization, including minimizing stockouts, overstocking, and excess inventory holding costs.
  • Monitor and track inventory performance, identifying areas for improvement and providing actionable insights to optimize stock levels and reduce waste.
  • Develop and manage dashboards and reporting tools to enhance visibility into inventory performance and operational trends.
  • Regularly assess inventory levels and turnover to optimize stock utilization, ensuring that financial resources are used efficiently.
  • Support budget planning by providing data-driven insights on inventory spending and cost control measures.

General Responsibilities

  • Participates in departmental and team meetings, quality assurance/performance improvement (QA/PI) activities and programs, and corporate-wide training as required.
  • Ensures compliance with all regulatory requirements to maintain a safe working environment.
  • Completes performance evaluations for direct reports and ensure that all mandatory training modules are completed in a timely manner.
  • Perform other related tasks and duties as assigned.

Minimum Qualifications

1. Bachelor’s degree from an accredited college or university in Accounting, Finance or Business Administration; and,

2. Three (3) years of experience in accounting, finance or business administration, two (2) years of which must have been in a supervisory capacity within relevant areas in settings related to a hospital, medical center or health care facility; and two (2) years of which must have been in a related management of purchasing capacity or,

3. Satisfactory equivalent combination of education, training and experience. The education cited above may be substituted for by experience on a year-for-year basis. However, all candidates must have a minimum of a High School or its educational equivalent.

Department Preferences

  • Knowledge of fundamentals of hospital organization, administration and standards, regulations and laws applicable to hospital operations and in particular Supply Chain Management.
  • Demonstrated leadership skills and progressive growth in career progression.
  • Demonstrated ability to communicate with executive leaders within a health system or equivalent setting.
  • Experience in operational improvement in Supply Chain with emphasis in programs such as LUM/JIT, inventory control systems and theory.
  • Proficiency in MS Office suite especially with Excel
  • Healthcare operations, warehouse inventory, PAR Management or Supply Chain
  • ERP functions and maintenance
  • Accounting principles, cost analysis, budgeting, forecasting, demand planning, market/supplier research and analysis
  • Previous healthcare, Supply Chain, or Materials Management experience
  • Detail oriented with strong planning, critical thinking, analytical and problem-solving skills
  • Excellent communication skills and ability to communicate effectively with all levels of the organization
