Job Description
We are seeking a highly organized, proactive, and service-oriented Coordinator to support both operational executives (e.g., Finance and Programming) and the People Operations team. This dual role provides administrative assistance to senior leaders while also helping execute high-impact HR programs that foster employee engagement, culture, and operational excellence.
Executive Support
- Provide administrative support to 2–3 executives, including scheduling, calendar management, travel coordination, expense processing, and meeting logistics.
- Prepare materials for internal and external meetings (e.g., decks, agendas, reports).
- Manage sensitive information with discretion and maintain executive priorities.
- Act as a liaison across departments to ensure efficient information flow and alignment on cross-functional initiatives.
People & Culture Support
- Assist with employee onboarding and orientation logistics, including welcome communications, first-day setup, swag distribution, and introductory materials.
- Support the planning and execution of company-wide events (e.g., large department meetings, celebrations, ERG programming, volunteer initiatives).
- Serve as a point of contact for employee inquiries, escalating as needed to the People team.
- Help maintain employee records and HR tools (e.g., job change submissions, directories, intranet updates, etc.).
- Contribute to initiatives that enhance engagement, recognition, and workplace culture.
Qualifications
- 2–4 years of administrative or coordinator-level experience supporting multiple stakeholders, ideally in a fast-paced or creative industry.
- Interest or background in human resources, employee engagement, or internal communications.
- Exceptional organizational skills and the ability to juggle priorities with professionalism.
- Strong communication skills, both written and verbal, with a service-first mindset.
- Proficiency in Microsoft Office, and tools similar to SharePoint, DocuSign, Asana or HRIS platforms (e.g., BambooHR, Workday).
- Discretion and integrity when handling confidential information.

Compensation
$55,000 - $65,000
