Assistant Director of Student Financial Services

The Assistant Director of Student Financial Services will employ a student-focused vision and approach to plan, direct, and monitor the Bursar Office’s service delivery and operations at Bergen Community College. The successful candidate will be responsible managing student refunds, receivables, account reconciliations, performing daily journal entries, financial reporting, analysis, variance analysis, and other financial matters related to the Bursar function. Must demonstrate strong knowledge of state and federal regulations and ability to successfully implement and manage processes that enhance the College’s compliance requirements.

POSITION SUMMARY

Responsibilities include but are not limited to:

  • Provide leadership in overseeing and managing processes and procedures for student account receivables and debt administration.
  • Perform general financial analysis and reporting on student accounts; research, analyze and explain variances and resolve related inquiries.
  • Monitor accounts receivable and oversee the collection process for the Bursar’s Office.
  • Work closely with the Director of Student Financial Services and support functions in the OneStop Center to foster an environment of continuous improvement through effective decision-making, aligning departmental objectives with the College’s strategic planning and development, and improving the Department’s ability to evaluate, update, and implement effective programs and policies.
  • Prepare monthly management reports on accounts receivable, tuition and fee variances, waivers, and other student account data.
  • Monitor student accounts receivable and proactively highlight findings that require managerial action.
  • Assist with completing the College’s annual 1098-T processing, student account write-offs, monthly resolutions and reports for Board of Trustee meetings, and year-end reporting.
  • Assist with maintaining accurate student financial records to facilitate information flow between the Bursar's Office, Financial aid, Accounting, Enrollment Services, and other offices throughout the College.
  • Prepare journal entries as needed to assist with maintaining current and accurate records.
  • Oversee refunding of Title IV funds in accordance with NJ and Federal deadlines and regulations.
  • Works collaboratively with supervisor, the Controller, and the Compliance Officer to evaluate internal controls and procedures for the Bursar’s Office.
  • Assist with planning and executing system enhancements and reporting for improved processes.
  • Performs additional tasks or duties as assigned.

SPECIAL SKILLS AND QUALIFICATIONS

Education: Bachelor’s degree in accounting, Finance, or related field

Experience: A minimum of 7 years of experience working in a Bursar's Office. Supervisory experience in a higher education environment. Expertise in refund processing of Title IV funds. Knowledge of student account receivables and the collection process.

Preferred: Familiarity with the workflow from Financial Aid Offices to Bursar’s Offices, Experience with Ellucian Colleague or similar ERP system and Third-party payment plan administration.

Knowledge, Skills, and Abilities: Demonstrates strong understanding of the community college mission and the importance of providing superior customer service to students. Thorough understanding of the Bursar function in higher education, compliance requirements for federal and states regulations, including Title IV refunding. Take a collaborative approach to working with internal staff and other departments. Requires a general knowledge of accounting principles and procedures within higher education, principles and techniques of budget preparation, administration, and strong writing skills. Proficiency in Microsoft Office suite with advanced capabilities in Excel. Exhibits strong skills in:

  • Planning and executing tasks through completion.
  • Budget management familiarity (budget software experience a plus).
  • Experience with Ellucian Colleague.

SALARY AND BENEFITS

  • Annual Salary is $70,000-$80,000
  • NJ Educators Health Plan with free Vision and Dental. NJ State Pension plan.
  • 23 vacation days, 15 sick days, 4 personal days, 2 floating holidays, all designated holidays and 5 non-designated holidays a year. 3 Partial Sick Days.
