Our client, a leading industrial cleaning company, is seeking a highly organized and Bilingual Administrative Assistant to join their team! This is a fantastic opportunity to grow with a family-owned business and make a real impact.
As a key member of the administrative team, you'll play a vital role in ensuring the smooth operation of the office. With a focus on client service, contract management, and team support, this role offers a unique blend of challenge and opportunity.

Duties may include, but are not limited to:
- Receive and review incoming emails, direct to relevant parties, and take messages as necessary
- Greet visitors, direct them to appropriate personnel, and notify staff of their arrival
- Create purchase orders and ensure accuracy
- Accurately enter information into the database, maintaining up-to-date records
- Complete WSIB forms and reports, manage the uOttawa Maintenance contract, and ensure compliance with regulations
- Establish and maintain correspondence between employer and union parties, communicate with union representatives, and liaise with property/building managers and maintenance staff
- Attend meetings with uOttawa staff and team members, coordinate maintenance teams, provide quotes, and ensure timely completion of tasks
- File documents, scan records, prepare expense reports, manage mailouts (including mail merge), and provide excellent client service to internal and external clients
- Perform other office tasks as assigned, demonstrating adaptability and willingness to take on new responsibilities
Required skills and qualifications:
- 1-2 years of experience in a similar administrative role, preferably with a client service focus
- Experience working with cleaning/maintenance teams is an asset
- Fluency in French (spoken and written)
- Ability to thrive in an industrial environment
- Proficiency in MS Office (Word, Excel, Outlook) and basic PowerPoint editing skills
- Strong attention to detail and organizational abilities
- Excellent customer service skills
- Ability to work independently with autonomy and as part of a small team
- Occasional travel to uOttawa for onsite meetings may be required
